Job Description

Under general supervision, performs routine receptionist, clerical, and general office assistance duties. Receives and directs visitors while ensuring safety protocols, answers and directs telephone calls, and responds to requests for general information. Performs routine clerical tasks, including data processing, use of computer software, office equipment, screening and routing materials, and supporting the effective functioning of the school office. Seeks guidance for unusual situations.

Reports to the principal.

ESSENTIAL JOB FUNCTIONS
  • Serve as a receptionist: greet visitors, parents, volunteers; direct them to locations as needed.
  • Provide information regarding school operations and answer routine questions about programs, procedures, and regulations.
  • Answer incoming telephone calls and route them to the proper person.
  • Handle inquiries and correspondence of a non‑technical nature.
  • Schedule tours and facility usage.
  • Perform routine clerical duties.

Supervise students waiting to see administrative staff for disciplinary or other reasons; may contact parents of disciplined students.

Assist the school nurse with student medications or minor health needs; may contact parents of sick/injured students.

Operate copying machines, adding machines/calculators, computers, and other office equipment; operate the intercom and provide information via the school’s public address system.

Process, sort, check for accuracy, and file documents per established systems; distribute intra‑system and general delivery mail; maintain routine office records for student records, instructional materials, etc.; set up and maintain files for a limited number of subjects.

Keyboard materials from exact copy with proficiency; transcribe information onto forms, process letters, memoranda, reports, tabulations, statements, various card records, and other materials from rough draft or detailed instructions.

Notify employees of mail, information, visitors, or materials waiting at a central location.

Perform other related work as assigned.

KNOWLEDGE, SKILLS & ABILITIES
  • General knowledge of school operations and procedures.
  • General knowledge of principles of organization and administration.
  • General knowledge of arithmetic, correct spelling, grammar, and vocabulary usage.
  • Basic computer operation knowledge.
  • Ability to transcribe information and prepare standardized forms, letters, and reports.
  • Ability to operate multi‑line phone systems and common office equipment.
  • Ability to sort and distribute documents.
  • Ability to maintain basic files and accurate records.
  • Ability to compile information and develop simple reports.
  • Ability to understand and follow oral and written instructions.
  • Ability to type accurately at a moderate rate of speed.
  • Ability to establish and maintain effective working relationships.
MINIMUM TRAINING & EXPERIENCE

High school diploma with some clerical experience preferred; or equivalent combination of experience and training.

MINIMUM QUALIFICATIONS

Physical: capable of using a variety of automated office equipment and able to exert negligible force frequently or constantly to lift, carry, push, pull or otherwise move objects. Consistent with Light Work.

Conceptual Awareness, Interpersonal Communication, Language Ability, Intelligence, Verbal Aptitude, Numerical Aptitude, Motor Coordination & Dexterity, Visual and Spatial Aptitude, Interpersonal Temperament, Physical Communication are required as described above.
