The Samaritan's Purse – Children's Heart Project is seeking an Administrative Assistant to provide primary administrative support to the CHP Director and staff. The role will involve coordination of administrative and logistical duties, communications, and record keeping to ensure the smooth operation of CHP initiatives.
Responsibilities- Support CHP Director and staff with project‑related administrative and logistical duties.
- Prepare and submit expense reimbursements for CHP staff and volunteers, and submit third‑party invoices for payment.
- Maintain supply inventory and prepare, pack, and ship CHP clothing, records, packets, and other materials as needed by Regional Host Coordinators and Travel Coordinators for groups, transporters, and host families.
- Prepare, print, and maintain inventory of CHP guidebooks and information packets for volunteers, donors, and conferences; mail CHP information packets to hospitals, physicians, host families, and donors as needed.
- Obtain and post compelling information and photos on CHP’s Facebook page, creating interest and awareness; liaise with Communications & Social Media team regarding current statistics and posts.
- Create and develop a Communications file for each child, including stories, testimonies, and photos for publications, plaques, certificates, and reports.
- Maintain the CHP email account and reply to inquiries on behalf of the Director.
- Prepare thank‑you letters to physicians, hospitals, host churches, families, donors, and volunteers as directed.
- Create and maintain medical records and spreadsheets for enrolled children as requested by the International Patient Coordinator.
- Develop and regularly update the Children’s Hospital database with names and contact information; research children’s hospitals as requested by the CHP Director.
- Compile, prepare, and maintain monthly executive reports, quarterly departmental reports, and board reports for CHP.
- Bachelor’s degree from a 4‑year college or university.
- 1–2 years of experience as an administrative assistant or in a customer‑service related field, or equivalent combination of education and experience.
- Fluency in English.
- Strong organizational and communication skills.
