Office Manager

We are seeking a highly organized, detail-oriented, and dependable Office Manager to oversee the daily administrative operations of our office. The Office Manager is responsible for ensuring the office runs efficiently by coordinating administrative functions, supporting management and employees, maintaining office systems, and providing exceptional customer service. This role requires excellent organizational skills, the ability to multitask, and a proactive approach to problem-solving in a fast-paced environment.

Essential Duties & Responsibilities

  • Manage the daily operations of the office to ensure efficiency and productivity.
  • Dispatch intercompany and subcontractor trucks for product deliveries and shipments and equipment transfers.
  • Serve as the primary point of contact for visitors, vendors, and incoming calls.
  • Collect and maintain all inbound material tickets and input into Net Suite.
  • Maintain office supplies, equipment, and inventory while coordinating repairs and maintenance.
  • Assist with employee onboarding, orientation, and administrative paperwork.
  • Prepare reports, spreadsheets, and correspondence using Microsoft Office applications and Net Suite.
  • Maintain organized filing systems, both electronic and paper.
  • Process invoices, purchase orders, expense reports, reconciliation of cash drawer(s) and cash sales, and other administrative documentation.
  • Coordinate office events, meetings, and company functions.
  • Assist with payroll documentation, timekeeping, and employee records as needed.
  • Maintain confidential personnel and company information with professionalism and discretion.
  • Monitor office budgets and assist with vendor relationships and purchasing including managing new vendors set up.
  • Ensure compliance with company policies, procedures, and safety requirements.
  • Coordinate incoming and outgoing mail, packages, and deliveries.
  • Provide administrative support to multiple departments as needed.
  • Identify opportunities to improve office processes and implement efficient administrative procedures.

Minimum Qualifications

  • High school diploma or GED required;
    Associate's or Bachelor's degree preferred.
  • Minimum of 3 years of office administration or office management experience.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Professional demeanor with exceptional customer service skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong problem-solving and decision-making abilities.
  • Experience with payroll, HR administration, or accounting software is a plus.

Preferred Qualifications

  • Previous supervisory or leadership experience.
  • Experience supporting operations, logistics, or transportation teams.
  • Knowledge of office management procedures and administrative best practices.
  • Experience with ERP systems, scheduling software, or document management systems. Experience using Net Suite.
  • Bilingual (English/Spanish) is a plus.

Physical Requirements

  • Ability to sit, stand, and walk throughout the workday.
  • Frequently use computers, telephones, printers, and other office equipment.
  • Occasionally lift or move office supplies weighing up to 25 pounds.
  • Ability to work in a fast-paced office environment while managing multiple priorities.
