Air Handlers OBX, a division of Sun Realty, is looking for an organized, customer-focused Administrative Assistant/Dispatcher to join our growing HVAC team! For more than 46 years, Sun Realty has been a trusted name in the Outer Banks, delivering exceptional service to homeowners and guests. Air Handlers OBX continues that tradition by providing dependable heating and air conditioning services throughout the Outer Banks. We're looking for a team member who shares our commitment to outstanding customer service and professionalism.

What You'll Do

As the Administrative Assistant/Dispatcher, you'll be the first point of contact for our customers and the communication hub for our HVAC technicians. Your responsibilities will include:

  • Answering incoming customer calls with professionalism and a positive attitude.
  • Receiving and prioritizing emergency and non-emergency service requests.
  • Dispatching HVAC technicians using our field service management software.
  • Monitoring technician schedules and routes to maximize efficiency.
  • Communicating work order details and job requirements to technicians.
  • Maintaining organized office files and providing general office support.
  • Participating in the rotating after-hours phone schedule.

What We're Looking For

The ideal candidate will have:

  • 1–2 years of customer service or administrative experience.
  • Excellent phone etiquette and communication skills.
  • Experience dispatching service technicians or coordinating schedules is a plus.
  • Strong computer skills, including Microsoft Office; experience with Quick Books, Smart Service, or similar field service software is preferred.
  • A positive attitude with a strong commitment to providing outstanding customer service.

Physical/Mental Demands:
Hearing, speaking, seeing, sitting, walking, standing, driving, bending, and climbing steps; lifting and carrying 25-30 lbs., reading, comprehension, legible writing skills and effective written and verbal communication in the English language.

Machines/Equipment/Licenses:
Reliable transportation, with valid, active NC driver license, proper insurance, and inspections (as required in company guidelines); computers, copiers, all office equipment.

Work Environment:
Indoor, office work environment, minimal-to-moderate amount of noise infrequent-to-no exposure to outside weather conditions, fast paced, at times mentally strenuous; shifting priorities due to changing needs and situations with little to no notice.

Hours:

Full-time, year-round position. Weekends and holidays are required. Overtime may be required. Regular punctual attendance is required.

Salary Range:
Pay based on experience and proven ability, determined by AH OBX General Manager
