Administrative Support Coordinator – School of Arts and Sciences

This is a 12‑month, full‑time position in the Academic Affairs Division that provides administrative support for the Dean of the School of Arts and Sciences at both Monroe and Polkton campuses.

Responsibilities
  • Perform a variety of administrative duties for the Dean in support of the School of Arts and Sciences.
  • Assist with curriculum change paperwork, articulation agreements, and other paperwork as directed by the Dean.
  • Assist the School with maintaining program budgets and processing business and travel‑related requests per college policy.
  • Assist with data collection for High Impact Practices.
  • Schedule complex meetings as required by the Dean, Assistant Dean, and Department Chairs.
  • Supervise work‑study students as directed.
  • Assist with planning and execution of activities and college‑wide events (Orientation, Open House, Commencement, etc.) as directed.
  • Maintain the School’s One Drive site, including regularly updating personnel lists.
  • Generate and maintain a variety of regular and confidential documents, including general correspondence, reports, class schedules, forms, contracts, and memorandums from rough draft or verbal instructions; prepare copies and distribute information.
  • Assist in maintaining necessary supplies.
  • Assist with forms and collection of data as requested.
  • Assume responsibility for the advisory committee process for the School’s programs.
  • Prepare agendas and minutes of leadership, department, and faculty meetings as directed.
  • Assume responsibility for current and accurate data for adjunct faculty.
  • Assist with program reviews, conducting research and surveys, and preparing updates, reports, and plans.
  • Continue professional development to meet the needs of the School and the College.
  • Participate in student recruitment, retention, and registration activities, including operating tables at events.
  • Interact positively with visitors, students, and staff to assist, deescalate, and provide resolution.
  • Collaborate with all college areas to provide excellent customer service to all visitors, staff, faculty, and students.
  • Aid in the creation and communication of related area reports.
  • Maintain confidentiality of records and FERPA compliance.
  • Work a variable schedule, including evenings and/or weekends, and travel between campuses.
  • Perform any other duties as assigned by the Dean or the Vice President of Academic Affairs.
Required Qualifications
  • Minimum one year of administrative work experience.
  • Ability to communicate effectively both orally and in writing.
  • Working knowledge and utilization of word processing, spreadsheet, and presentation software applications.

  • Evidence of effective problem‑solving, critical thinking, and decision‑making skills.
  • Evidence of a career that includes a strong work ethic with a proven track record of project completion, multi‑tasking, and the ability to handle high‑pressure environments.
