The North Carolina Department of Transportation’s Ferry Operations in Hatteras seeks an Administrative Specialist I to provide administrative support, ensuring year‑round operational efficiency and excellence. The role is fast‑paced, requires effective communication with a diverse group of individuals, and demands high performance independently and as part of a team.
Key Responsibilities- Compile bi‑weekly payroll information and enter data into Excel.
- Record staff working time, verify leave balances in SAP, and file completed timesheets for quick access.
- Assist with payroll entry as needed.
- Supervise, plan, and review personnel under the direction of the Director and Deputy Director in the absence of the Operations Manager.
- Serve as alternate Facility Security Officer (FSO) per USCG/Homeland Security policy.
- Assist manager with shift‑based employee scheduling.
- Monitor financial transactions, perform deposits, data entry, and statistical reporting.
- Reconcile financial reports for accuracy and troubleshoot discrepancies.
- Train co‑workers on the reservation system and toll deposit entries into SAP.
- Record and report traffic figures, overtime, and shift reports.
- Compile and coordinate reports regarding the work process with supervisor and upper management.
- Process travel reimbursements for employees.
- Assist employees with USCG renewals, gather sea time, and obtain drug‑testing letters for USCG.
- Maintain daily operation of office equipment and manage supply inventory.
- Enter fuel consumption daily into the SAP system.
- Interact with customers and the traveling public, screening communications per guidelines.
- Transportation Worker Identification Credential (TWIC). A copy of the TWIC card must be attached to the application or presented at the interview.
- Knowledge of office procedures, methods and practices.
- Demonstrated ability to use judgment in coordinating and monitoring office procedures and workflow.
- Knowledge of BSIP/SAP software and office unit procedures.
- Proficiency in Windows 7 (or greater), Microsoft Office (Word, Excel, Outlook), and Internet Explorer.
- Skilled in working with people, showing courtesy, tact, and customer service skills.
Grade: NC08
Range: $37,782 to $66,120
High school diploma or GED and two years of related administrative experience; or an equivalent combination of education and experience. Refer to the Education and Experience Equivalency Guide for details.
