Wieland is hiring an Executive Assistant to provide administrative support to the Vice President and the executive team. The assistant will serve as a liaison to the TS Tubes NA management team and other BU leaders, organize and coordinate executive outreach, and oversee special projects. This role is located in Pine Hall, NC and will be fully on site.
ResponsibilitiesPrimary function will be supporting the Vice President in completing a wide variety of administrative tasks such as managing a calendar of appointments, preparing expense reports, writing correspondence, preparing PowerPoint presentations, updating Excel worksheets, and other reporting assignments.
- Arranges travel plans, itineraries, and meeting agendas. When needed, the Executive Assistant will support senior leaders and plant employees to arrange domestic and international travel.
- This role will support scheduling and planning activities across all TS Tubes NA sites. This includes off-site events, on-site meetings, hosting visitors, preparing documentation, writing minutes, and coordinating food and beverage catering.
- The Executive Assistant will be our point of contact for local hotels, rental cars, and restaurants, negotiating rates, making reservations, processing bills, etc.
- Works with leadership and purchasing groups to maintain office supplies and branded merchandise.
- Develops and maintains proficiency for office IT support.
- Manages public outreach with our local business partner agencies, such as county officials, chamber of commerce, colleges, schools, etc.
- Collaborates on content and administers support for our social media platforms.
- Participates and collaborates with each site’s Cultural Committees.
- Helps ensure good housekeeping throughout the office.
- Expects additional projects and activities to develop as needed.
- Strong organizational skills.
- Ability to perform and prioritize multiple tasks with excellent attention to detail.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff and external partners.
- Expert‑level written and verbal communication skills.
- Emotional maturity.
- Highly resourceful team‑player.
- Discretion, confidentiality skills, adaptability, and proven high level of customer/client service and response. Bachelor’s degree in Business Administration or equivalent experience.
- Five to ten years of experience supporting senior management levels.
- Professional appearance and behavior.
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and social media web platforms.
