Receptionist, Administrative, and Cashier Position

This position provides receptionist, administrative, and cashier tasks for the branch. The primary function of this position is to courteously greet and assist customers, vendors, and employees entering the branch. This position will also assist the Parts Manager in retail coordination for the Power Systems Garner facility.

Receptionist Duties:

  • Promptly and courteously answers all calls. Monitors calls to ensure no calls remain on hold for over 30 seconds without the caller being advised of efforts to reach the party being called. Routes all in-coming calls to appropriate personnel.
  • Greets all entering customers and vendors in a courteous manner; assist them with their needs by directing them to the appropriate party or assisting them with novelty transactions.
  • Assist with customers checking out for parts purchases.
  • Coordinate with the credit department when problems arise on a customer's account

Cashier Duties:

  • Collect and report cash receipts – cash, credit cards, checks
  • Collect COD payments for service work orders and close when payment is received.
  • Make daily/weekly cash deposit to the Bank
  • Issue check requests
  • Answer or direct to appropriate personnel customer inquiries about payments & invoices, work with Sales Representatives to ensure name & addresses are on invoices; make phone calls or mail invoices as required
  • Oversee and balance Cash Sales Drawer and Petty Cash Drawer
  • Assist Warehouse and Parts by ensuring that cash tickets are paid for prior to parts leaving premises.

Branch/Lobby Duties:

  • Coordinates assigned branch/building projects from planning through implementation.
  • Coordinates fleet administration activities including vehicle registrations, inspections, and related documentation.
  • Administers company uniform programs, vendor onboarding requirements, customer setup documentation, deposits, and related operational processes.
  • Supports branch and division initiatives as assigned by management.
  • Assesses and notifies Business Manager of any building or facility needs.
  • Assist Parts Manager to ensure merchandise is in good showroom order in lobby
  • Arrange and maintain lobby area

Miscellaneous Duties:

  • Oversee mail delivery and distribution to appropriate personnel's mail boxes to and from branch
  • Ensure coffee and popcorn is attended to – ordering and keeping customer refreshments supplied and fresh during the day
  • Order and manage office supply for branch and stocking of inventory
  • Track and coordinate maintenance of department equipment – copiers, printers, phones
  • Make and post signage as needed or required
  • Code vendor invoices; verify invoices with inadequate documentation; verify and annotate invoices in Web-extender
  • Scan and Index all work order documentation into Web-extender and maintain work order files.
  • Assist managers and supervisors in coordinating branch functions, meetings, luncheon's, training, etc.
  • May assist Sale or Product Support Managers with literature, customer mailings and additional paperwork as needed.
  • Possibility of cross training as a back-up for Service Administrator.

Minimum Requirements:

Education:

High school graduate, preferably a two-year degree.

Work Experience:

Two years related business work experience with exposure in accounting and retail merchandising. Customer satisfaction related training. Person must be very customer oriented with a professional attitude and appearance to greet customers daily.

Physical:
Handle many duties at once; ability to handle stress and high pressure daily; ability to communicate and relate to people on all levels. Must be flexible in work hours to fill in at the front desk if needed.

Must be able to set up attractive displays with prices and good visibility and to periodically travel to other branch locations.

Ability to solve problems and maintain good external and internal customer relationships.
