Office Administrator/ Coordinator, Clerical
Performs difficult skilled administrative support work participating in and providing administrative support and office coordination for an assigned department, and related work as apparent or assigned. Work is performed under the limited supervision of the assigned department supervisor.
- Provides administrative support to the Department Head; schedules appointments and maintains appointment calendar; responds to invitations; registers for conferences and trainings and makes necessary arrangements.
- Provides general guidance to administrative employees and and assists with tasks as needed
- Prepares reports, correspondence, meeting materials; transcribes what is said in internal investigations; orders supplies and equipment; maintains office files; enters and retrieves information from computer as needed to perform research, update records, process transactions or respond to requests for information; processes timesheets; prepares and maintains confidential and complex records and files.
- Trains new employees.
- Orders and monitors office supplies.
- Resolves complex or sensitive customer issues or complaints.
- Completes special projects as required.
General knowledge of standard office practices, procedures, equipment and administrative support techniques; general knowledge of business English, spelling and arithmetic; general knowledge of departmental programs and policies; ability to maintain office records and to prepare accurate reports; ability to perform and organize work independently; ability to prepare effective correspondence on routine matters and to perform routine office management without referral to supervisor;
ability to comprehend moderately detailed policies, procedures and job related materials; ability to communicate ideas effectively both in oral and written forms; ability to meet the public effectively; ability to maintain confidential information; ability to establish and maintain effective working relationships with supervisors, associates and the general public.
High school diploma or GED and moderate experience in administrative support work involving public contact including some supervisory experience., or equivalent combination of education and experience.
