The Executive Associate will coordinate and manage activities as they relate to the Dean’s Immediate Office, School of Dentistry to ensure a smooth efficient operation; serve as a liaison for School of Dentistry staff; works under occasional supervision; performs office management duties; prepares and reviews reports; assists in the preparation of designated grants. The Executive Associate will perform confidential detailed administrative duties.
The Executive Associate will make work related decisions in accordance with existing policies and procedures. The person will oversee special projects and prepares related reports as designated by the Dean. The person will assist with management of other Dena’s office staff.
- Provides organizational management and administrative direction for the Office of the Dean.
- Develops Standard Operating Procedures for operations of the Office and School
- Perform high level confidential administrative duties and delegated duties in support of the Dean.
- Attends meetings with the Dean, take notes and prepare minutes.
- Prepare appropriate correspondence on behalf of the dean as designated
- Serves as records management administrator for the Dean’s Immediate Office, with exception of student files/records.
- Monitors accreditation of the School of Dentistry and assist with data compilation and collection
- Oversees assistance and management of the dean’s emails and correspondence
- Prepares reports for the Dean of the School of Dentistry. These reports may be for internal and external use for accrediting agencies.
- Coordinates regular meetings of School of Dentistry staff to promote collegiality, effective communication, and the advancement of skills and knowledge
- Meets with support person(s) from academic departments within the School to coordinate functions and activities. Communicates with directors, faculty coordinators, Assistant and Associate Deans, to relay information, directives, etc.
- Assist with and coordinates the development of grant proposals, quarterly and annual reports and other special projects (Title III, COE, and other HRSA related grants)
- Coordinates the processing of student, faculty, and staff complaints and appeals at the executive level.
- Assist with coordinating faculty and staff onboarding
- Responds to inquiries from outside agencies or organizations and coordinates institutional responses to same.
- Plans and directs preparation for special events such as retreats, receptions, commencement, and dinners hosted by the School, functions for dignitaries, routine business luncheons, and dinners and some professional entertaining.
- Maintain the Dean’s calendar and make travel arrangements
- Performs special project duties related to the Dean’s extramural activities (i.e. Boards, Committees, and /or Advisory Councils).
- Assist in the development of progress reports and presentations to the Board of Trustees and special reports to outside agencies.
- Performs other related duties as assigned.
- Excellent organizational and time management skills
- Excellent writing skills, verbal and communication skills , and business office operations and management
- Demonstrates the knowledge and skills of basic and advanced business office formats, (e.g. business letter format, email correspondence, communication logs)
- Ability to handle multiple projects and manage designated office functions.
- Demonstrated interpersonal skills necessary to establish and maintain effective working relationships with internal and external contacts.
- Ability to handle confidential and highly sensitive information with a high degree of tact
- Ability to plan, schedule and coordinate meetings and all logistics.
