The Service Dispatcher plays a vital role in coordinating technician schedules, supporting field operations, and ensuring our customers receive timely and professional service. This position serves as a key communication hub between customers, technicians, and office staff.

Position Summary

The Service Dispatcher is responsible for scheduling and dispatching technicians, coordinating customer appointments, maintaining accurate service records, and supporting daily operational efficiency. This role requires excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities
  • Manage technician schedules and dispatch service calls efficiently throughout the day
  • Coordinate technician return visits for jobs requiring additional parts or follow-up service
  • Maintain on-call schedules and after-hours service procedures
  • Enter service calls, schedule appointments, and complete daily technician debriefings
  • Maintain accurate and up-to-date customer records within the company database
  • Respond professionally to customer inquiries regarding scheduling, lead times, invoicing, and equipment service
  • Support service technicians through phone and online communication
  • Follow up with customers to schedule preventative maintenance appointments
  • Review completed service work orders for accuracy and completeness
  • Prepare invoices and technician timecards for processing
  • Participate in company-sponsored training and professional development
  • Resolve customer concerns professionally and efficiently through clear communication and problem-solving
  • Maintain a professional image while following all company policies, safety procedures, and ethical standards
Qualifications Required Skills & Experience
  • Minimum of 2 years of dispatching or coordination experience in a related industry
  • Strong communication and customer service skills
  • Ability to multitask and remain organized in a fast-paced environment
  • Geographic knowledge of the service area and/or map reading ability preferred
  • Proficiency with Microsoft Word and Excel
  • Valid driver’s license with a clean driving record
  • Ability to pass a background check and drug screening
Education
  • High school diploma or GED required

  • Ability to operate a computer and related office equipment
  • Ability to sit for extended periods of time
  • Sufficient auditory and visual ability to operate call management and communications systems
