Administrative Patient Representative

Full Time

Summary

Facilitate smooth patient flow within the clinic by efficiently managing patient registration, appointment scheduling, and accurate medical record maintenance. Ensure timely and precise submission of billing information and reports, supporting the overall administrative operations of the outpatient clinic.

Major Job Functions
  • Promptly register patients, collecting accurate personal and medical information.
  • Schedule appointments for initial visits, follow-ups, and procedures, ensuring proper allocation of provider time.
  • Update and maintain patient medical records with new and existing information.
  • Handle incoming calls to coordinate appointments, determining appropriate providers and visit types.
  • Collect payments including co-pays and deductibles, documenting transactions and preparing daily cash reports.
  • Order and schedule outside tests as requested by providers, confirming appointments.
  • Enter ICD-10 and CPT-4 codes for patient activities and procedures into the data system daily.
  • Transcribe non-medical dictation accurately and submit billing invoices to the billing department under supervision.
  • File, fax, and mail reports and records as needed; compile and submit monthly reports promptly.
  • Assist in tracking and notifying supervisors about supply inventory needs.
  • Serve as receptionist by greeting patients, directing visitors, and answering phones in a courteous manner.
  • Support non-invasive medical procedures or act as a security observer when required.
  • Provide emergency message direction and assist administrative or medical staff as needed.
Education

High school diploma or equivalent required; business-related coursework preferred.

Experience

One to two years of clerical experience preferred, especially in medical office or public contact roles.

Requirements

Knowledge of medical terminology and familiarity with ICD-10 and CPT-4 coding preferred. Proficient PC skills and typing speed of 45-55 words per minute are advantageous. Strong organizational skills, tact, and the ability to communicate effectively with patients under stress are essential. Physical ability to read printed data and screens, manual dexterity, and verbal communication skills are necessary.
