Summary
Reporting to the Logistics Supervisor, the Logistics Clerk will be responsible for coordinating shipments internally and externally, corresponding with customers, and tracking shipments. The Logistics Clerk will answer inquiries and provide information to the public, customers, visitors, and other parties regarding plant activity; greet and assist visitors; and support the Logistics Department with clerical activities. The ideal candidate will be highly organized, detailed oriented and capable of multi-tasking.
PositionResponsibilities
- Operate telephone switchboard to answer and direct calls, provide information, and take messages.
- Greet individuals entering the establishment and prepare visitors for plant access, including verifying purpose of visit and notifying appropriate personnel.
- Provide required safety and GMP-compliant attire (ear plugs, hair nets, beard nets, etc.) for plant entry.
- Compile and accurately record daily SAP receipts for peanuts, packaging, ingredients, and plant supplies using documents such as bills of lading, packing slips, Certificates of Conformance, Grade and Aflatoxin Certificates.
- Verify item types, quantities, and required documentation prior to SAP entry to ensure accuracy and completeness.
- Ensure all SAP receipt entries are completed on the same business day materials are received.
- Identify, investigate, and communicate discrepancies or missing documentation before finalizing SAP entries.
- Receive purchase orders (POs) within SAP from various plant departments and submit confirmations via email daily.
- Maintain Logistics Excel tracking files for inventory control, ensuring they are updated daily to reflect current inventory levels and movements.
- Cross-check Excel tracking files against SAP entries and receiving documentation to ensure alignment and accuracy.
- Review tracking files regularly and correct errors as identified.
- Conduct daily inventory of the Raw Warehouse.
- Perform weekly inventory of all on-site drum trailers, ensuring accuracy and reporting discrepancies.
- Prepare and organize documentation in advance of monthly inventory, beginning at the start of the preceding week.
- Assist with monthly inventory and inventory reconciliation.
- Maintain organized, clearly labeled physical and electronic files for all logistics, receiving, and SAP-related documentation.
- Ensure documentation is complete, legible, and readily accessible to support audits, traceability, and reporting requirements.
- Retrieve and provide documentation promptly when requested by supervisors or auditors.
- Perform clerical tasks such as typing, mailing, receiving, and shipping LTL shipments.
- Input key information from the Daily Production Summary into tracking spreadsheets.
- Keep the Traffic/Logistics Supervisor informed of issues, problems, or variances in normal operations.
- Escalate discrepancies related to inventory, documentation, deliveries, or system entries as soon as they are identified, providing supporting details.
- Communicate operational issues clearly and follow established chain of command for resolution.
- Perform plant-wide announcements when required (e.g., emergency drills, repairs).
