Job Description Summary

Responsible for facilitating transactions, producing, assembling and delivering replacement/ repair parts and equipment as part of a Services agreement or order. Includes activities such as processing transactions, managing processes, material management, site operations, or warehouse logistics & shipping, sometimes in a shop structure. Includes craft & non craft labour as well as manager roles responsible solely for these activities. Responsible for departmental operations planning/execution or is focused on execution of professional activities within a technical discipline.

Functions with some autonomy but guided by established policies or review of end results. The job allows modification of procedures and practices covering work as long as the end results meet standards of acceptability (quality, volume, timeliness etc.).

The Flow Parts Lead serves as the primary customer service contact for external customers purchasing wind farm components. This role is responsible for managing customer orders from initial order receipt through fulfillment and delivery, ensuring accurate communication, timely execution and positive customer experience. The Flow Parts Lead works closely with Sales, Operations, Supply Chain, Manufacturing, Logistics, Quality and Finance to coordinate customer requirements, monitor order progress, resolve issues and proactively communicate changes that may affect delivery or customer commitments.

The ideal candidate is highly organized, customer-focused, detail-oriented and comfortable managing multiple orders and priorities in a fast-paced industrial environment.

• Serve as the primary point of contact for customers regarding external orders, order status, delivery timing, and fulfillment-related questions.
• Receive, review, and process customer purchase orders and ensure order requirements are accurately captured in internal systems.
• Validate order details, including part numbers, quantities, pricing, requested delivery dates, shipping requirements, and customer-specific requirements.
• Coordinate with internal teams to establish realistic production and delivery commitments.
• Monitor customer orders throughout the fulfillment process and proactively communicate status updates, delays, changes, or potential risks.
• Coordinate shipment planning and delivery activities with Logistics, Warehousing, and transportation providers.
• Track order milestones and ensure customer commitments are met.
• Investigate and resolve order discrepancies, shortages, delivery issues, damaged shipments, and other fulfillment-related concerns.
• Coordinate with Sales and Account Management on customer requests, changes, expedited orders, cancellations, and other exceptions.
• Maintain accurate customer and order information in ERP/CRM systems.
• Provide customers with order acknowledgments, confirmations, shipment information, tracking details, and other required documentation.
• Partner with Finance on invoicing, credits, payment issues, and other order-to-cash matters as needed.
• Support resolution of quality or warranty-related customer issues by coordinating with Quality and technical teams.
• Identify recurring fulfillment issues and recommend process improvements to increase customer satisfaction, order accuracy, and on-time delivery.
• Maintain organized records of customer communications, order changes, and fulfillment activities.
• Support reporting and analysis of order backlog, on-time delivery, open issues, and other customer fulfillment metrics.
• Perform other duties related to customer order fulfillment and service as assigned.
