OverviewWorks under the direction of the Executive Director, to support the Riverside Choose Home program. Provides administrative support to all team members, including the Executive Director, Sales, Personal Service Coordinators, and the Riverside Business office. Acts as a member account liaison between Choose Home Members and staff, community partners, and external agencies.
Responsibilities- Add new members to the accounting software and oversee member account management.
- Monitor utilization, provider and member invoices, maintenance requests, purchase orders, and office supply orders.
- Reconcile member benefits with preferred specialty providers and forward balances for payment.
- Assist members with monthly billing questions and track utilization in Point Click Care.
- Scheduling events, maintaining the Salesforce database (specialty provider and community resources), recording leads, and tracking event attendance.
- Support sales by assembling marketing materials, confirming and scheduling health assessments and other services.
- Serve as front‑desk receptionist: greet members, answer phones, take messages, maintain reception area, and distribute mail.
- Answer all incoming calls within two rings with the four‑part greeting and record in Salesforce.
- Ensure member status and demographics are accurate in Salesforce.
- Monitor daily event schedule, reschedule member appointments, and obtain new member information (insurance, durable goods, etc.).
- Maintain department files, including leads entered into Salesforce, and report potential compliance concerns.
- Coordinate with the marketing team to plan prospecting and member events, and communicate event details via phone, email, or mass mail.
- Assist with event confirmations and follow‑up.
- High School Diploma or GED (required). Bachelor’s Degree in a related field (preferred).
- At least 2 years of office assistant/management experience with Microsoft Office.
- Knowledge of senior population and long‑term care needs (preferred).
