Overview
American Crystal Sugar Company is seeking a talented Office Coordinator in Drayton, ND to support factory Ag and Operations management staff. The role reports to the Factory Manager and has a dotted line to the Agronomy Manager. The primary purpose is to coordinate and provide confidential support services for factory management.
Responsibilities- Lead and promote a positive work culture through the company values of Safety, Integrity, Quality, Teamwork, and Accountability.
- Provide administrative and secretarial support to factory Operations and Ag management by maintaining and organizing schedules, meetings, and company events.
- Greet and direct visitors, screen and direct incoming calls, sort and distribute mail, coordinate mailings, maintain inventory of office supplies/forms, and assist with repair and maintenance of factory telephone and other office equipment.
- Coordinate travel arrangements as needed.
- Perform typing and data entry and send mass text messages related to pertinent harvest information and meeting notices.
- Gather data from SAP, LIMS, and PIMS to create the factory operating report and operation supplies and costs report, displaying data in report and graph formats.
- Maintain the factory’s master electronic files for environmental, maintenance, process, quality assurance, food safety, and OSHA forms.
- Create and release requisitions for Operations and Ag, monitor requisitions, create and monitor work orders, approve online invoices within authorized limits, and process service receipts as directed.
- Compile information and assist in completing and tracking Ag and Maintenance budgets, business plans, March and November forecasts, and budget projection spreadsheets.
- Participate in interviewing Harvest Communication Coordinators (temporary service) and fill in as needed.
- Prepare an adequate supply of forms for each receiving station scale house to complete harvest.
- Assemble appropriate record‑keeping material for harvest personnel.
- During campaign, coordinate daily rehaul information to the contract hauler regarding which sites are being hauled to the factory.
- Collect all information required to maintain the District harvest comparison files used to determine final harvest metrics for Ag performance reviews.
- Act as a “Power User” on SAP, Microsoft Office, and other software by providing assistance and training as needed.
- Prior experience and knowledge of office administration, general accounting, and mathematical skills.
- Ability to provide ex cellent oral and written communication, normally gained through an associate degree in office or business administration, or through 3 to 5 years of previous office/business experience.
- General understanding of factory operations and the harvest process preferred.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Access, and the ability to compose professional written communications.
- Ability to learn the company’s various software applications.
- Capability to work in a fast‑paced environment, independently, and complete job functions with a high degree of accuracy amid frequent changing deadlines.
- Strong teamwork skills, sound judgment, and discretion regarding confidential information of shareholders and growers.
Pay range: $22.09 – $27.61 per hour.
