Office Manager

The Office Manager provides comprehensive administrative, financial, and program support for the Department of Veterans Affairs and Veterans Cemetery. Responsibilities include managing departmental financial transactions and account reconciliations, preparing financial and grant reports, maintaining confidential veteran and program records, coordinating transportation and travel arrangements, processing purchase orders and timesheets, and ensuring compliance with applicable tribal, state, federal, and grant requirements. The position serves as the primary administrative support for daily office operations by maintaining filing systems, coordinating meetings and communications, managing inventories, assisting veterans and the public, supporting Veterans Cemetery activities, and performing additional duties necessary to ensure the effective and efficient delivery of services to veterans and their families.

Duties & Responsibilities:

  • Maintain and reconcile departmental accounts, prepare and process purchase orders, monitor expenditures, and complete required financial reports in compliance with funding requirements.
  • Coordinate daily office functions, maintain calendars, schedule meetings and travel, manage correspondence, and ensure organized electronic and paper filing systems.
  • Coordinate transportation for veterans to VA and medical appointments, monitor Medical Assistance Travel services, and provide general assistance and information to veterans and the public.
  • Maintain confidential participant and veteran files, process employment/work program timesheets, and ensure accurate documentation for departmental programs.
  • Prepare grant expense reports, maintain required documentation, conduct fiscal monitoring of veteran services, and ensure compliance with tribal, state, federal, and funding agency requirements.
  • Maintain inventories of departmental property and equipment, distribute informational materials, monitor Tribal Council actions affecting the department, and assist with Veterans Cemetery operations.
  • Provide administrative assistance to the Director and Department of Veterans Affairs by performing special projects and additional duties necessary to support efficient departmental operations.
