Records & Information Specialist

FULL TIME EMPLOYEE Administrative Service Center, Fort Yates, ND, US 1 Attachments

Salary Range: $24.97 To $31.21 Hourly

SCOPE OF WORK:
The Records & Information Specialist administers, organizes, maintains, secures, preserves, and retrieves Land Management/Reservation Resources Department records in compliance with Tribal laws, federal regulations, and records management standards. The position serves as the Department’s subject matter expert, ensuring the accuracy, integrity, accessibility, and confidentiality of land, ownership, transaction, lease, legal, historical, and other official records. The Specialist also leads records modernization efforts, including digitization, electronic document management, retention schedules, and secure records storage.

KEY

DUTIES & RESPONSIBILITIES:

  • Administer and maintain comprehensive physical and electronic records management systems, including Tribal land, ownership, lease, permit, tax, probate, legal, and related records.
  • Develop and maintain retention schedules, classification systems, filing standards, and procedures in compliance with Tribal laws, BIA regulations, federal requirements, and departmental policies.
  • Coordinate the scanning, indexing, quality control, and electronic preservation of historical and current records while ensuring document integrity and accessibility.
  • Maintain secure storage and appropriate access controls for sensitive Tribal records and ensure the confidentiality, security, and integrity of departmental information.
  • Establish efficient procedures for records retrieval, respond to authorized information requests, coordinate archival storage, and oversee the lawful destruction of records in accordance with approved retention schedules.
  • Conduct records audits, evaluate existing processes, and recommend technologies, systems, and process improvements to enhance efficiency, security, compliance, and accessibility.
  • Develop records management procedures and manuals, train staff on filing, retention, confidentiality, and electronic records standards, and prepare reports on records inventories, digitization, compliance, and other records management activities.

PREFERRED QUALIFICATIONS:

  • Bachelor’s degree in Business Administration, Information Management, Records Management, Public Administration, Library Science, or a closely related field is preferred. A combination of education and directly related experience will be considered.
