Our 95,000 employees work across more than 150 countries to put patients first — developing innovative medical technologies that improve the lives of 72+ million patients each year. Your unique talents will help shape the future of healthcare while building a career grounded in purpose, growth, and impact.

Medtronic is seeking a highly organized and proactive Project Coordinator IV to provide administrative, operational, and project coordination support for our Clinical, Medical Affairs, and Health Economics & Reimbursement (CMAH) function. CMAH supports Medtronic's Surgical business by developing evidence, advancing education, and enabling the safe and effective adoption of innovative therapies throughout the product lifecycle. Working across a broad network of clinical, commercial, and product development partners, the team helps accelerate innovation, inform healthcare decisions, and improve outcomes for patients around the world.

In this role, you will play a central role in supporting the day-to-day operations of the CMAH organization. Working across multiple teams and stakeholders, you will coordinate key processes and programs, monitor deliverables and timelines, maintain documentation and reporting tools, support organizational meetings and events, and help ensure effective execution of priorities across the function. You will also provide administrative support to a Senior Director, including calendar management, travel coordination, expense reporting, and meeting logistics.

The ideal candidate thrives in a fast-paced environment, enjoys bringing structure to complex and evolving initiatives, and is comfortable working with leaders across multiple levels of the organization. This is an excellent opportunity for someone who enjoys improving processes, ensuring priorities stay on track, and serving as a trusted operational partner who helps teams remain organized, connected, and effective through periods of growth and change.

Key Responsibilities:

  • Provide executive and administrative support to a Senior Director through proactive calendar management, scheduling, travel coordination, expense support, and prioritization of competing commitments.
  • Coordinate and manage key operational processes, ensuring approvals, deliverables, and workflow activities progress efficiently through established governance and review processes.
  • Serve as the coordinator for department-wide programs and operating mechanisms, including travel approval processes, society meeting approvals, compliance activities, reporting cycles, and other functional initiatives.
  • Track deliverables, monitor timelines, and follow up with stakeholders to ensure commitments and action items are completed on time and leadership objectives remain on track.
  • Coordinate CMAH meetings, town halls, monthly connect sessions, and leadership events by organizing logistics, communications, agendas, materials, documentation, and follow-up activities.
  • Maintain organizational resources, including SharePoint content, team documentation, reporting tools, org charts, team calendars, onboarding materials, and departmental communication resources.
  • Support the development and maintenance of team playbooks, reporting processes, onboarding resources, and operational documentation that improve consistency and efficiency across the organization.
  • Generate and maintain reports, dashboards, trackers, and compliance metrics using available systems and tools to support leadership decision-making and operational visibility.
  • Identify opportunities for process improvement and contribute ideas that enhance efficiency, communication, collaboration, and ways of working across the CMAH organization.
  • Handle confidential information with professionalism, discretion, sound judgment, and a strong customer-service mindset.

Minimum Qualifications (Must Have):

  • 6+ years related administrative experience

Preferred Qualifications:

  • Experience supporting directors, senior directors, or leadership teams within a large, matrixed organization.
  • Experience coordinating operational processes, approvals, project activities, or program execution.
  • Experience working in a highly regulated industry such as medical devices, healthcare, pharmaceutical, biotechnology, or life sciences.
  • Experience maintaining SharePoint sites, internal team resources, or onboarding materials.
  • Experience supporting training, onboarding, learning & development, or organizational effectiveness initiatives.
  • Demonstrated ability to drive follow-through with multiple stakeholders and manage competing priorities with minimal supervision.
