Schedule: Monday through Friday, 8:30am-4:30pm
Wage Range: $26.00/hr-$28.85/hr
Position DescriptionThe Resident Financial Coordinator is responsible for managing and maintaining client financial records, processing payments and deposits, preparing required financial reports, and supporting compliance with agency, guardian, DSS, DDS, and SSA requirements. This role requires strong attention to detail, confidentiality, organization, and the ability to communicate professionally with guardians, staff, vendors, landlords, and external agencies.
- Respond to emails and communicate professionally regarding client financial matters.
- Pay client bills and post payments, payroll, SSA, SSI, and other deposits to client accounts.
- Review daily mail, maintain client files, and file all client financial correspondence.
- Provide client funds for money pouches, special requests, weekly spending allowances, and other approved needs.
- Make deposits to client accounts and maintain accurate records of all transactions.
- Reconcile client bank statements and petty cash accounts.
- Prepare DDS rent subsidy reports, DSS redeterminations, SSA representative payee reports, and other required financial documentation.
- Conduct money book audits, food stamp audits, and reviews of grocery purchases and logs.
- Fund PEX cards for grocery purchases and maintain related purchase logs.
- Submit grocery reimbursement payments, client invoices, monthly balances, and financial reports to the appropriate internal departments.
- Pay monthly rents to landlords and coordinate security deposits, utilities, insurance, and related move-in or move-out needs.
- Prepare financial reports for guardians and client I.P. meetings.
- Maintain security deposit reports, burial account deposits, and other client financial records.
- Coordinate client tax return preparation and client vacation-related financial needs.
- Communicate with guardians, DSS, SSA, vendors, funeral homes, and other parties as needed to resolve financial, benefit, or account-related matters.
- Prepare and submit documents for Representative Payee status for new clients and for deceased clients as required.
- Coordinate and approve maintenance requests with supervisors and vendors.
- Provide training to staff regarding client financial procedures as needed.
Required Qualifications
- Associate degree in accounting, business administration, human services, or a related field preferred.
- Prior experience with bookkeeping, bank teller, client funds, representative payee services, or financial coordination preferred.
- Strong organizational skills and attention to detail.
- Ability to maintain confidentiality and handle sensitive client financial information responsibly.
- Proficiency with email, Microsoft Office, spreadsheets, and basic financial recordkeeping systems.
- Ability to communicate effectively with clients, guardians, staff, vendors, landlords, and government agencies.
- Ability to prioritize multiple deadlines and complete recurring daily, weekly, monthly, quarterly, and annual tasks.
