Of The Position

Falvey Insurance Group is one of the largest Marine Insurance MGAs in the country and was founded on the pillars of Technology and Operational Excellence. The Project Coordinator role is critical to the expanding strategy of the group as the position is expected to leverage problem-solving, collaboration, communication, and project management methodology to deliver impactful internal projects and strategic initiatives. The position involves ensuring the company’s most urgent and important projects are being carried out in an efficient manner and acting as an advocate, point of contact, and internal consultant for our software team (BA’s, Developers, QA).

This role will also contribute to the successful completion of cross-functional projects from start to finish working with stakeholders planning requirements, managing project schedules, and communicating progress updates across the company. Falvey invests heavily in its internal IT department; many, but not all, of these projects will involve software development to improve the effectiveness of internal systems. The role will implement and follow through on best practices for change requests, project submissions, documentation, and overall contribute to a spirit of collaboration and continuous improvement.

In addition, this role is expected to bring a positive and results-oriented mindset to any unexpected risks, problems, or opportunities that might arise during day-to-day operations.

Position Functions

The role will have the following main responsibilities:

  • Analyzing and reporting on the progress achieved by the Data & Innovation Department and software teams by:
  • Creating weekly status reports to inform the business of how things are going from a development standpoint and identify potential pitfalls
  • Compare to historical weeks and identifying why more/less progress was made compared to what was anticipated
  • Adjusting plans for future projects based on findings
  • Supporting the software teams’ day-to-day work by:
  • Understanding and documenting software teams’ processes
  • Informing Data and Innovation process improvements to alleviate their struggles
  • Offering creative solutions to their internal issues
  • Ensure successful execution of internal projects:
  • Managing individually assigned projects through various stages of its life (Information Gathering/Project Plan, Solution Design, Implementation, Testing)
    • Capturing and organizing input from Subject Matter Experts, Business Analysts, and Executive Sponsors to create a Project Plan that covers key objectives, timelines, and action items
  • Leading meetings that include presenting solutions or risks to upper management
  • Converting Problems and Objectives into Solutions that are in line with business objectives. Identifying and carrying out effective action items to meet the solution
  • Writing project updates that incorporate progress, and describing new risks/decisions/action items that have arisen
  • Communicating with Executive sponsors to keep projects and efforts aligned with business goals
  • Defining and implementing best practices for Requirements Discovery and documentation, Project Planning, and other Project Workflows
  • Reviewing and editing draft project documentation for clarity and actionability
  • Encouraging growth and continuous improvement of the team
  • Contributing to overall communication, alignment, and collaboration within the organization
