Job Profile

The Logistics Coordinator is critical to driving business execution and increasing overall company sales by providing proactive, critical administrative support to the US Power Sales Managers to enable them to go out and increase their customer and sales revenue.

Job Role

Provides support to the Sales Manager within the US Power Commercial team.

This position requires exceptional organizational skills, business acumen, critical thinking, and the ability to operate with discretion and urgency. It provides essential operational and administrative support to the Sales Manager to ensure seamless execution of rental projects. The role coordinates equipment logistics, manages documentation, supports customer communication, and helps drive efficient order processing from initial quote through project completion.

Key Responsibilities Sales Support & Coordination
  • Assist sales representative with preparing quotes, proposals, and rental agreements
  • Enter and maintain accurate order information in internal systems (Flex/CRM)
  • Track sales pipeline activity and support follow-ups with customers
  • Coordinate project details between sales, operations, logistics, and service teams
  • Ensure all required documentation (contracts, credit approvals, insurance certificates) is complete prior to mobilization
Rental Operations Coordination
  • Schedule equipment deliveries, pickups, and onsite service support
  • Verify equipment availability and coordinate with operations teams
  • Assist in creating and maintaining project timelines and schedules
  • Monitor ongoing rentals and communicate status updates to customers and internal teams
  • Support job closeout activities, including equipment returns and final billing
Customer Service & Communication
  • Serve as a primary point of contact for customer inquiries related to active rentals
  • Provide timely updates on order status, scheduling, and service issues
  • Maintain strong relationships with customers to ensure a high level of service and satisfaction
Administrative Duties
  • Maintain organized digital and physical project files
  • Process purchase orders, invoices, and billing support documentation
  • Prepare reports and dashboards for sales and operations teams
  • Support general office tasks such as scheduling meetings, managing calendars, and document preparation
Required Qualifications
  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
  • 2+ years of administrative, coordination, or sales support experience
  • Strong organizational skills with excellent attention to detail
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong written and verbal communication skills
Desired Qualifications
  • Experience in equipment rental, construction, power generation, or industrial services
  • Familiarity with ERP or CRM systems (e.g., Salesforce, Net Suite, or similar)
  • Experience supporting field operations or logistics coordination
  • Experience in AutoCAD
