** What You Will Do*
* The Joint Laboratory Office Nevada (JLON) is seeking candidates for a Professional Staff Assistant 1 (PSA1) position. Working as a valued member of the administrative team and reporting to the Staff Operations Manager, the successful candidate will play a key role in supporting the operational efficiency, informed business decisions, and the administrative functions of the program Office. The selected individual will provide professional administrative support to the JLON program directors, deputy directors, and laboratory workers associated with Los Alamos National Laboratory (LANL) and Lawrence Livermore National Laboratory (LLNL).  

The successful candidate will have a customer-focused approach to administrative responsibilities and will work cooperatively with staff and peers in a diverse office environment.

The selected individual will:

+ Serve as a point of contact for the office and communicate professionally with internal and external management, administrators, and staff at all levels.

+   Coordinate facility utilization, space planning, maintenance requests, housekeeping, and related operational needs.

+   Manage multiple calendars and complex schedules.

+   Coordinate meeting/conference scheduling and announcement logistics including badging and clearance transfers as appropriate with internal and external attendees.

+   Track government vehicle usage, service requests, and maintain maintenance reports

+   Receive, review, prioritize, track, and distribute incoming and outgoing shipping requests.

+   Coordinate travel arrangements and prepare expense reports.

+   Create, maintain, and organize office files, records, and SharePoint resources, including form and web design.

+   Handle program and/or personnel sensitive information and/or classified matter.

+   Serve as a resource to the JLON office staff on administrative policies and systems.

+   Maintain a professional team environment with other JLON administrative staff and maintain effective relations with administrators in other offices.

You will be expected to perform these job responsibilities without considerable direction, within a framework of standard policies and procedures, and prioritize work to meet established deadlines. You must demonstrate flexibility, adaptability and a willingness to provide support where needed in a dynamic, fast-paced office environment.

This position will support two distinct duty stations, one at the Nevada Support Facility in North Las Vegas, NV, and one office at the Nevada National Security Site (NNSS), located in Mercury, Nevada, approximately 60 miles north of Las Vegas, NV.  Selected candidate will rotate between work locations as needed to support JLON.

Experience providing administrative support in a dynamic, fast-paced environment, including clear communication and coordination with staff and team members. Skilled in office management tasks such as safety and security processes, correspondence, records management, travel arrangements, time and effort reporting, calendar support, meeting scheduling, logistics, and procurement assistance. Capable of reviewing, organizing, and routing email to support workflow and maintain daily operations.

Demonstrated ability to accurately prepare and process deliverable documents, complete action items, and track them to closure. Consistently employs tact, diplomacy, and discretion when handling sensitive or confidential information.

Organization and Time Management

Ability to organize, prioritize, and follow through on multiple tasks, often under strict deadlines, frequent interruptions, and shifting priorities in a dynamic work environment. Proven record of dependability, availability, attendance, and punctuality. Able to perform effectively under pressure while managing competing deadlines and changing demands. Skilled in maintaining accuracy, organization, and attention to detail in daily operations, ensuring timely task completion while sustaining a calm and professional demeanor.

Business Systems and Technical Proficiency

Proficient with Microsoft Office Suite, particularly Outlook, Excel, PowerPoint, and Word, with the ability to produce clear, accurate, and professional documents, spreadsheets, and presentations. Familiarity with Laboratory business systems such as Ariba, Oracle, Concur, and UTrain, with a demonstrated ability to quickly learn and adapt to new software and technologies. Capable of interpreting data and information to create organized and professional administrative products.

Able to learn and utilize business systems supporting personnel records, procurement, travel, and financial processes.

Problem Solving and Decision Making

Ability to identify administrative and operational issues and contribute to practical solutions by gathering information, evaluating options, and applying established procedures. Able to work independently on routine tasks while exercising sound…
