Under the supervision of the Housing Supervisor, this position ensures data compliance, conduct reviews of electronic and paper versions of program participant’s case files, and maintain program requirements of being audit compliant.

Duties, Functions and Responsibilities:
  • Communicate all daily activities, status of activities, results, etc. to Supervisor and Director
  • Conduct a thorough review of the HMIS and physical files to ensure all required documentation is complete, accurate, and well-organized
  • Maintain all records in the HMIS system, including but not limited to; the inputs of client demographics and services provided
  • Review HMIS files, ensuring client, program, housing, income documentation is uploaded/ titled accurately
  • Ensure case notes align with entered services, are up to date, contain required information, and are not duplicates
  • Follow the established program monitoring schedule; communicate any issues with monitoring dates to the FHS Supervisor and Director for resolution
  • Monitor program files; keeping track of the names and UID numbers
  • Maintain professional, clear, and concise communication with all business contacts
  • Follow-up on all files with that need corrections or are missing documents
  • Ensure the smooth flow of paperwork through the monitoring process
  • Responsible for ensuring the proper forms are available for use
  • Ensure accurate entry of client information into the database, including their assigned programs and case managers
  • Maintain organization by filing cases that are no longer in use
  • Attend all trainings as required and available
  • All other related duties as assigned by management for the needs of HELP of Southern Nevada
The ideal candidate will possess the following knowledge, skills, and abilities:
  • Efficient in Adobe PDF, and Microsoft Office products, including Word, Excel and Outlook
  • Demonstrate strong written, verbal, and listening skills, along with the ability to independently initiate and respond to various forms of correspondence
  • Ability to communicate effectively with persons from a variety of social, cultural, and economic backgrounds while displaying a demonstrated understanding and sensitivity to culturally diverse populations
  • Ability to be flexible and adjust to shifting priorities
  • Ability to organize work schedule and budget time
  • Ability to understand and follow all agency policies and procedures
  • Ability to work flexible hours, as required by the program
Required Qualifications:
  • High School Diploma or GED
  • Minimum 1 year of experience working with unhoused population
Preferred Qualifications:
  • Experience with Data Entry AND HMIS
  • Previous experience working in a similar setting
