Executive Director of Finance & Accounting

The Executive Director of Finance & Accounting provides operational support to the organization. The Executive Director of Finance & Accounting supervises the finance department and is the chief financial spokesperson for the organization. This position reports to the Chief Executive Officer (CEO) and leads/assists in strategic and tactical matters as they relate to fiscal planning, management, analysis, funding, and reporting.

Essential Functions:

  • Reports directly to the Chief Executive Officer (CEO) and leads/assists on all matters as they relate to budget management, financial planning and analysis, forecasting, financing and accounting.
  • Serves as the financial spokesperson for the organization.
  • Communicates and presents financial results to relevant audiences, including organization updates, stakeholder updates, board updates, and materials.
  • Overs ees the finance and accounting department.
  • Coordinates and directs the preparation of financial forecasts, metrics, benchmarks, and KPIs, and analyzes and reports variances. Makes recommendations as deemed necessary.
  • Owns the organization's financial plan, including regular updates and adjustments to financial projections and communication of key elements to the management team.
  • Oversees the production of monthly reports, including reconciliations, as well as financial statements and cash positions for use by management.
  • Oversees the completion of monthly/quarterly budget vs. actual variance analysis and drives accountability across the company. Drives the quarterly/annual budgeting and planning process, as well as long-range financial planning. Plans for the downside and finds opportunities for upside.
  • Oversees the maintenance of the inventory of all fixed assets, including assets purchased, and assuring all are in accordance with regulations.
  • Optimizes cash flow and handles treasury management. Monitors cash balances and cash forecasts.
  • Directs activities related to efficient cash collection and vendor payments and overall cash management and cash forecasting.
  • Oversees the preparation and submission of grant-related documentation, including compliance with related financial requirements.
  • Reviews and approves capital expenditure requests.
  • Responsible for the coordination of year-end audits and preparation for independent auditors.
  • Develops and maintains systems of internal controls to safeguard the financial assets of the organization.
  • Ensures the preparation of the annual financial statements is in accordance with U.S. GAAP and federal, state, and other required schedules.
  • Ensures adequate controls are installed and that substantiating documentation is approved such that processes pass independent and various audits.
  • Oversees payroll activities for staff, inclusive of wages, gratuities, and salaries for staff.
  • Maintains and improves upon current accounting infrastructure to scale with business growth, including documentation of policies and procedures.
  • Reviews and approves vendor contracts and agreements.
  • Oversees the maintenance and renewals of business licenses and operational permits.
  • Trains the finance department and other staff to raise awareness and knowledge of financial management matters.
  • Assists the CEO in identifying new opportunities and drafting of prospective programmatic budgets.
  • Responsible for the overall banking and insurance relationships manage strategies as it relates to general liability, property insurance, professional insurance, cyber insurance, fiduciary insurance and contracts as well as benefits.
  • Ensures that the company complies with all legal and regulatory requirements.
  • Provides both operational and programmatic support to the organization.
  • Approves operational and capital requisitions.

Minimum Qualifications:

Bachelor's degree in Accounting, Finance, Economics, Business or Public Administration or a field related to the work and five (5) years of full-cycle accounting in ERP (Month-End Close, Year-End Close, Audits, Accruals, Reconciliation, Fixed Assets, Payroll, Capital Expenditure) required.

Experience and Education Substitutions:

  • Experience working in a non-profit and/or ERISA environment preferred.
  • An equivalent combination of formal education and appropriate related experience may be considered.

Licensing and Certification:

  • CPA certification is strongly preferred.

Any degree, diploma, high school equivalent, or course hours required to meet minimum qualifications must be obtained from an accredited educational institution.
