The Location Administrative Assistant is a first point of contact for many families, visitors, vendors, and callers and must represent the funeral home with warmth, compassion, discretion, and professionalism. They manage a variety of administrative, financial, customer service and operational responsibilities while maintaining accurate records and ensuring timely communication between the location and corporate support teams.
DUTIES/RESPONSIBILITIES- Serve as a knowledgeable and helpful first point of contact for families, clients, suppliers, and other visitors in a professional and friendly manner.
- Functions as the front-line contact when the Location Manager or Funeral Director are unavailable and ensure prompt and correct communication flow to the proper party.
- Answer and direct phone inquiries to the proper team members in a professional and courteous manner.
- Demonstrate empathy, patience, and professionalism when interacting with grieving families and individuals experiencing stressful or emotional circumstances.
- Provide general administrative support to the location manager and employees, which could include organizing and scheduling meetings, as needed.
- Enter, maintain, and update At-Need and Pre-Need service and sales information in applicable systems, including Passare.
- Assist with the preparation and processing of insurance claims and related documentation.
- Partner and cross train with the corporate accounting team to support location-level financial and administrative processes.
- Sort incoming mail, faxes, and deliveries for distribution.
- Purchase, receive and store office supplies, ensuring basic supplies are always available.
- Maintain up-to-date and correct record keeping and filing systems.
- Address routine questions and concerns promptly and professionally, escalating matters to management or the appropriate team member when necessary.
- Help ensure every family and guest receives a consistent, positive experience that reflects the funeral home’s standards and values.
- Ensure the location is always presentable by maintaining an organized, professional and welcoming, reception, and office environment.
- Performs other related duties as assigned.
- Service-oriented with the ability to understand and assist grieving families in difficult and stressful situations.
- Excellent written and verbal communication skills including active listening and exceptional telephone and customer service skills.
- Proficient computer skills with the ability to learn and effectively use new technology and software systems. Preferred experience with MS Office products and/or Google Workspace platforms. Experience with Funeral Service software, such as Passare, Tukios, etc., preferred.
- First-hand experience with office machines (i.e., printer/scanner, fax machines, etc.)
- Strong attention to detail and commitment to accuracy.
- High level of professionalism, emotional maturity, discretion, and sound judgment.
- Initiative-taking - does not wait to be told, rather sees the need, and works to fulfill.
- Excellent time management skills and ability to multi-task and prioritize work.
- Strong organizational and planning skills proven in a fast-paced and sometimes demanding environment.

- High school diploma or equivalent or higher, required; additional education or training in business administration, office management, customer service, or a related field is preferred.
- Experience working with administrative, accounting, scheduling, or customer relationship management systems, preferred.
- Customer service experience is required.
- Valid driver's license with an excellent and clear MVR.
- Prolonged periods sitting at a desk and working on a computer.
- Ability to stand, walk, bend, reach, and move throughout the funeral home and office environment as needed.
