This is a full-time, onsite position based at our headquarters in North Logan, Utah.
About the RoleThe Executive Assistant to the CEO plays an essential role in keeping executive priorities, communication, and daily operations moving forward. You will manage complex schedules, coordinate important meetings and events, support communication with company owners and leaders, and ensure the CEO is prepared for the decisions and responsibilities ahead.
This position requires excellent judgment, discretion, attention to detail, and the ability to anticipate needs in a fast-paced environment. The ideal candidate does more than manage tasks—they create clarity, solve problems, and make it easier for others to do their best work.
What You’ll DoExecutive Support and Communication
- Manage and coordinate the CEO’s calendar, appointments, and priorities.
- Manage the CEO’s inbox by identifying urgent matters, flagging priority items, and responding on the CEO’s behalf when appropriate.
- Coordinate travel arrangements and detailed itineraries.
- Track and reconcile executive expenses, receipts, and invoices accurately and promptly.
- Draft, organize, and manage executive correspondence and communications.
- Handle sensitive and confidential information with professionalism and discretion.
- Provide administrative support to the executive and director teams as needed.
- Schedule and coordinate executive meetings, including agendas, materials, logistics, and follow-up items.
- Anticipate meeting needs and ensure participants are prepared with the correct information and resources.
- Coordinate Board Deck content with the executive and Senior Leadership teams.
- Prepare and distribute final Board materials to the Owner Group.
- Support communication and coordination between the CEO, executive leadership, and Owner Group.
- Coordinate special meetings and events for the executive team.
- Maintain company entity files and records in accordance with company and legal requirements.
- Partner with office managers to coordinate building maintenance needs.
- Assist the Marketing Department with major company events, including the annual Visionary Concert and Charity Golf Tournament.
- Take ownership of special projects and evolving priorities as assigned.
- Obtain and maintain a Utah Notary Public commission, with company support if needed.
- Exceptional organization and time-management skills.
- Strong attention to detail and a commitment to accuracy.
- Excellent written and verbal communication skills.
- Sound judgment and the ability to maintain confidentiality.
- A proactive mindset with the ability to anticipate needs and solve problems independently.
- The ability to prioritize competing responsibilities and meet deadlines in a fast-moving environment.
- Confidence communicating and collaborating with executives, company owners, employees, and external partners.
- Flexibility and composure when schedules or priorities change.
- Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
- An associate degree in business, administration, or a related field is preferred but not required.
