Automotive Billing Clerk

Description

Schumacher Automotive Group is seeking a detail‑oriented and organized Billing Clerk to join our team. The ideal candidate will ensure accurate and timely billing for sales and service transactions, manage the dealership’s accounts receivable, process invoices and billing documents, verify billing information, resolve discrepancies, and communicate with customers regarding billing issues.

• Dealership experience (required)
• Automotive accounting experience: 2+ years (required)
• Experience submitting rebates (required)
• Automotive experience; preference for CDK knowledge (required)
• High School Diploma required
• Post‑secondary education in accounting, finance or related field (preferred)
• Solid understanding of basic accounting principles and practices, including bookkeeping and financial reporting
• Proficiency with accounting software and spreadsheet programs such as MS Excel
• Strong computer skills and experience managing financial records and transactions
• Valid driver’s license
• Pre‑employment testing (background check and drug testing) required

• Enter all deal information accurately into the dealership’s accounting and software systems.
• Verify posting accuracy and resolve any discrepancies.
• Maintain organized and accurate billing records and filing systems.
• Handle billing for trade‑ins and payoffs; pull commissions on warranties and products; create trade folders; check vehicle information in Title Tec and inventory in CDK to ensure accurate cost tracking; compute commissions; book deals and post.
• Process payoffs from purchases (KBB).
• Manage Contracts in Transit (CIT) and ensure payments are properly accounted for.
• Process Electronic Fund Transfers (EFT) and reconcile them with dealership accounting records.
• Maintain used vehicle inventory schedules, track adjustments (ROs, reconciling accounts), and review schedules for accuracy.
• Ensure We‑Owe payoffs are processed and documentation is complete; verify any outstanding balances.
• Perform cash clearing to record and deposit all cash received accurately.
• Complete other duties or projects assigned by management.
