We are seeking a proactive, organized, and tech-savvy Office Manager to oversee daily operations for our North Palm Beach office, while working collaboratively with leadership and staff across the firm.
Position Overview
The Office Manager plays a key leadership role in the day-to-day operations of the North Palm Beach office. This position is responsible for managing administrative functions, office-level billing and collections, and coordinating workflows and office systems, while serving as the central point of contact for clients, staff, and vendors.
In addition, the Office Manager supports core tax-season and client lifecycle processes, including client intake and onboarding, organizing and maintaining digital client files, coordinating client deliverables, supporting the tax return finalization and e-file process, and assisting with tax notices and follow-up. This role requires strong organizational skills, comfort working within cloud-based systems, and the ability to manage multiple workflows independently in a professional services environment.

Key Responsibilities
- Oversee day-to-day office operations and administrative processes
- Manage scheduling, calendars, and workflow coordination for the managing partner and staff
- Handle billing support, invoicing coordination, and client payment tracking
- Serve as the primary point of contact for office vendors, service providers, and technology partners
- Coordinate with external IT support and assist with basic troubleshooting and local user support as needed
- Ensure firm compliance with internal procedures, data security, and confidentiality standards
- Support tax season logistics and deadlines
- Identify and implement process improvements to increase efficiency
Qualifications
- 3+ years of experience as an Office Manager, Operations Manager, or Senior Administrator
- Prior experience in a CPA firm, accounting firm, law firm, or professional services environment strongly preferred
- Strong organizational, multitasking, and problem-solving skills
- Proficiency with Windows-based computers and Microsoft 365 (Outlook, Excel, Word) and Zoom
- Comfort working with VOIP phone systems and cloud/web-based applications
- Familiarity with accounting or practice management software (Quick Books, Practice
CS, or similar) is a plus - Excellent written and verbal communication skills
- High level of professionalism and discretion
