About the Role

We are seeking a Mechanical Administrator to support our Equipment Division in North Vancouver. This is an excellent opportunity for someone who enjoys a blend of administrative work and hands‑on mechanical support.

If you’re detail‑oriented, organized, and enjoy working closely with both office and field teams — while contributing to the reliability and performance of a major equipment fleet — this role is for you.

The Mechanical Administrator plays a vital role in keeping our equipment operations running smoothly. You will support maintenance planning, manage technical documentation, track equipment performance, and assist in the coordination of our equipment across multiple project sites. Your work directly contributes to equipment uptime, safety compliance, and operational efficiency.

Key Responsibilities
  • Provide administrative and technical support to the Equipment Division and coordinate between office, shop, and project teams.
  • Maintain accurate equipment records, including inventories, inspections, certifications, maintenance logs, and service histories.
  • Organize technical documentation such as manuals, drawings, specifications, SOPs, and equipment files.
  • Support equipment reporting, including utilization summaries and performance data.
  • Update ERP/asset management systems with equipment data (hours, locations, service intervals).
  • Assist with preventive maintenance planning and tracking compliance.
  • Support safety and compliance requirements by tracking inspection due dates and certifications.
  • Coordinate equipment logistics and assist with planning, forecasting, and documentation for the Equipment Manager.
  • Maintain organized filing systems, prepare meeting minutes, and support audit documentation.
  • Provide general administrative support, including scheduling, communication, and equipment‑related documentation.
Education & Requirements Education
  • A diploma or degree in Business Administration or a related field.
Technical Skills & Experience
  • 1–3+ years in a mechanical, equipment, maintenance, or construction‑support role
    (co‑op experience may be considered).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience supporting maintenance, inspections, or work order processes.
  • Familiarity with ERP platforms, maintenance management systems, or equipment tracking software (asset).
Administrative & Coordination Skills
  • Strong documentation, recordkeeping, and organizational abilities.
  • Ability to manage large volumes of technical data and prepare clear reports.
  • Experience with Power BI or data tools is an asset.
Communication & Teamwork
  • Strong communication skills with the ability to collaborate across departments.
  • Professional, service‑oriented approach with reliable follow‑up on deadlines.
Other Requirements
  • Valid driver’s license (required for shop or project site visits).
  • Ability to visit project sites or equipment yards when needed.
  • Commitment to safety, quality, and continuous improvement.
