Millwork Recruiting Source is partnering with an established commercial architectural millwork manufacturer in the Chicopee, Massachusetts area to identify an experienced Project Manager.

This position will manage commercial architectural millwork projects from award and internal handoff through engineering, production, installation, billing and closeout. The Project Manager will serve as the central point of communication among clients, general contractors, architects, internal departments, vendors, subcontractors and installers.

Qualified candidates should have a strong understanding of architectural millwork, construction documents, shop drawings and manufacturing practices. An established architectural millwork Project Manager would be an excellent fit; however, candidates who developed their expertise through engineering, installation, production or another hands-on millwork role may also be considered if they possess the organizational, technical and client-facing skills needed to manage projects successfully.

Position

Responsibilities Project Review and Planning
  • Review all project documentation following award and assignment, including contracts, architectural drawings, specifications, estimating takeoffs, quotes, schedules, bulletins, RFIs and other supporting documents.
  • Develop and maintain a comprehensive project schedule outlining each phase of the project lifecycle.
  • Organize and lead internal project handoff meetings involving estimating, project management, engineering, purchasing and production.
  • Review building rules, site requirements and contractual conditions, documenting and communicating any concerns that may affect fabrication, delivery or installation.
  • Identify potential scope gaps, schedule conflicts, coordination issues and project risks before they affect production or field operations.
  • Maintain organized, accurate and current project documentation throughout the life of the project.
Client and Project Communication
  • Serve as the primary point of contact among internal departments, clients, general contractors, architects, vendors, subcontractors and installers.
  • Keep all internal and external stakeholders informed of project requirements, deadlines, schedule changes and scope revisions.
  • Provide timely and accurate responses to questions from clients and internal team members.
  • Prepare, submit and track RFIs to the general contractor, architect or design team.
  • Work closely with the general contractor to obtain and understand all coordination information affecting the contracted millwork scope.
  • Attend onsite or virtual project meetings, shop drawing reviews, coordination meetings and scope walks as required.
  • Keep department leaders promptly informed of project status and any issues that could affect schedule, cost, quality or client relationships.
Shop Drawings, Engineering and Submittals
  • Review architectural drawings, shop drawings, contract documents and specifications for accuracy, constructability and scope compliance.
  • Assist with the development and review of shop drawing submittal packages using a practical understanding of commercial architectural millwork standards and manufacturing methods.
  • Coordinate closely with the engineering department to ensure it receives complete and accurate information for the preparation of production drawings.
  • Track all drawing, material and finish sample submittals through approval.
  • Receive, review, organize and distribute approved submittals, RFIs, bulletins, sketches and other documentation from the contractor or design team.
  • Clearly communicate drawing revisions and approved changes to engineering, production, purchasing and other affected departments.
Change-Order Management
  • Identify and track potential cost and scope changes arising from shop drawing markups, bulletins, construction change directives, sketches, RFIs, field conditions, charge slips, emails and client communications.
  • Assemble pricing requests and distribute the appropriate supporting documentation to affected internal and external parties.
  • Maintain required deadlines for pricing submissions and change-order responses.
  • Prepare and present proposed change orders to the general contractor.
  • Communicate approved change orders to engineering, production, purchasing and other departments responsible for execution.
  • Maintain accurate records of pending, submitted and approved change orders.
Production, Field and Installation Coordination
  • Create clear and complete work orders for shop leadership and production crews.
