Program Assistant
Department:
Director of Mental Health
Reporting to the Directors of Mental Health, the Program Assistant will be responsible for providing a wide range of confidential administrative support services within the Mental Health Portfolio. In addition to routine tasks, the Program Assistant is instrumental in ensuring efficiency in the department depending on the urgency, priority and nature of arising requests and is flexible in supporting tasks that arise.
This may be through schedule management, gathering information, and communication amongst the relevant network to ensure an effective outcome. This position is non‑union.
- Meeting support including minutes, scheduling, and agendas
- Coordinating clinical appointments
- Payroll and expense tracking
- Document preparation and formatting
- Computer file management
- Outlook calendar management
- Supporting special projects and events
- General office maintenance
- Travel preparations as required
- Data tracking, often from multiple sources
- Working in collaboration with other staff throughout the North Bay Regional Health Centre
- Maintains an inventory of equipment, supplies and materials for department
Certification/Experience/Knowledge:
- Post-Secondary education in Business Administration and/or office/medical administration required
- Minimum of five (5) years related experience required
- Gentle Persuasive Approaches (GPA) an asset
- Trauma informed approach in all interactions, Cultural competency with First Nation/Aboriginal and multicultural patient population required, and a commitment to creating an inclusive and affirming environments for all individuals
- High level of computer proficiency (Microsoft Word, Power Point, Excel), keyboarding speed of 70 wpm with 95% accuracy required
- Excellent verbal and written communication skills required
- Strong interpersonal skills with an ability to deal with confidential and sensitive issues in a professional manner
- Highly flexible with an ability to perform with minimal supervision
- Excellent time management skills
- Ability to prioritize, work accurately under stressful conditions and meet tight deadlines
- Ability to be versatile, adjust quickly in a fast-paced environment to multiple work patterns
- Must demonstrate commitment to ensure your safety, the safety of fellow workers, patients, volunteers, and visitors
- Must support and contribute to a culture of safety and prevention of adverse health events in our organization
- Bilingualism (English/French) is an asset
