The Student Information System (SIS) Administrator is a key member of the school's administrative support team and reports directly to the School Principal. This position is responsible for the administration, accuracy, integrity, and reporting of student information within the school's Student Information System (Aspen). The SIS Administrator serves as the school's lead for Aspen data management, OnSIS reporting, student information requests, and related data processes, while ensuring accurate student records and compliance with Board and Ministry reporting requirements.

This role also supports timetable development and scheduling processes within a dynamic secondary school environment.

Key Responsibilities
  • Administer and maintain the Student Information System (Aspen), ensuring the accuracy, integrity, confidentiality, and reliability of student data.
  • Coordinate and support all school-based OnSIS processes, including data validation, error resolution, and preparation of required Board and Ministry submissions within established timelines.
  • Monitor, analyze, verify, and reconcile student enrolment, attendance, demographic, program, and scheduling data to support accurate reporting, school operations, and compliance requirements.
  • Generate, analyze, and distribute a variety of reports, data summaries, and system information for the Principal, Board departments, and other authorized stakeholders.
  • Respond to student information data requests and assist with the interpretation of Aspen data, reports, and system outputs in accordance with Board procedures and privacy legislation.
  • Support timetable development and scheduling processes, including the maintenance of timetable structures, course sections, and scheduling data within Aspen.
  • Identify, investigate, and resolve data discrepancies and system issues in collaboration with school staff, Board staff, and technical support personnel, as required.
  • Provide technical and procedural support to school staff using Aspen, and promote consistent, accurate data-entry practices related to the Student Information System.
Mandatory Qualifications and Skills
  • Minimum two-year post-secondary diploma in Business Administration, Information Technology, Office Administration, or a related field.
  • A minimum of three (3) years related work experience in a comparable office environment, involving database use, reporting, records administration, or information systems support.
  • Demonstrated ability to work with computerized databases, generate reports, validate information, and maintain accurate records.
  • Strong working knowledge of Microsoft 365 applications, including Word, Excel, Outlook, Teams, One Drive, and SharePoint.
  • Strong analytical, problem-solving, organizational and time management skills, with a high level of accuracy and attention to detail.
  • Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
  • Excellent interpersonal, written, and verbal communication skills.
  • Ability to work independently and collaboratively, and to interact respectfully with school staff, Board staff, external organizations and stakeholders.
  • Demonstrated professionalism, discretion, and sound judgment when handling confidential information.
Preferred Qualifications
  • Experience working with complex databases, information systems, or reporting processes in an educational, public sector, or similarly regulated environment.
  • Familiarity with secondary school operations, student information systems, or Ministry/Board reporting processes would be considered an asset.
Additional Posting Information

Current compensation: $46,559 to $57,810 annually, in accordance with the applicable collective agreement.
