Processing Systems & Records Clerk

Full-Time Support Staff – (12-month contract)

Reporting to the Associate Registrar, Systems, the Processing Systems & Records Clerk role serves as a key front-line representative of the Office of the Registrar, delivering friendly, professional, and student-centred service to prospective and current students, staff, faculty, and external partners. The position responds to a high volume of inquiries across multiple channels, providing accurate and timely information on admissions, registration, academic policies, student records and systems, while ensuring a welcoming and supportive experience for all community partners.

In addition to providing service excellence, the role supports core registrarial operations, including application and admissions processing, records management, registration and transcript services. The clerk ensures the accuracy, integrity, and confidentiality of student information, contributes to clear and consistent communications, and plays an important role in maintaining efficient, well-coordinated processes that enhance the overall student experience and support departmental operations.

The successful candidate will have a two-year office administration or computer technology diploma from a recognized college and one (1) to two (2) years of customer service work experience, preferable at the post-secondary level. Experience with Ellucian Colleague, Entrinsik Informer, basic HTML and Microsoft Teams would be considered an asset.

This position is classified as Wage Grade 30, with a wage range from $24.09 per hour (Step
1) to $30.50 per hour (Step
9). Placement within the salary range will be determined based on the candidate’s relevant experience, skills, and qualifications, as well as internal equity and market conditions.

Hiring is subject to final budgetary approval. In accordance with Article
12.05(b) ofthe OPSEU Full-Time Support Staff Collective Agreement and OPSEU Part-Time Staff Collective Agreement first consideration is given to those internal applicants.
