Administrative Assistant Intern - The Capitol Centre
Job Description:
The Capitol Centre is seeking an Administrative Assistant to support administrative functions allowing for increased capacity for measuring impact, strengthening community partnerships, and assisting with day to day tasks. This position will work closely with the Executive Director, Finance Director, and will support other Capitol Centre departments as well. This role provides hands‑ons experience with data entry, inventory tracking, and grant and donor reporting all within an exciting, creative setting.
Key responsibilities include:
Preparing financial and programming data for grant applications and reports
Supporting finance data entry, monitoring accounts receivables, assisting with inventory management, as well as entering daily sales reports for Box Office and Front of House
Managing accounts payable by reviewing, allocating, and posting invoices to ensure accuracy and timely readiness for payment runs
Data mining for information on patron demographics, ticket purchasing trends, gallery engagement, etc
Creating templates for organizational meetings, member and donor touchpoints, and impact reporting
Representing the organization within the community at outreach booths to engage with broader audiences
Qualifications:
The candidate must be a new entrant into the workforce, transitioning to a new career, or be unemployed or underemployed entering a new field. The candidate may not have previously participated in an NOHFCfunded internship, must be 18 years of age or older and legally eligible to work in Canada. The position will be the firstfull-time employment in the candidate’s field of study.
A degree in office, business or arts administration is preferred. Strong computer skills, preferred experience with accounting software (we use Sage) is an asset.
Experience with Accounts Payable, Accounts Receivable, Invoicing, and
General Ledger knowledge as well as the ability to analyze, interpret, summarize and present financial information is required for this role. Intern must be able to work in a multi-task environment within clear timelines and a willingness to maintain confidentiality.
