Non-Instructional/Clerical Aide - Proctor Elementary School

The Non-Instructional/Clerical Aide works in collaboration with the building Administrative Assistant to provide general office support to the school and the building Principal.

Three or more years of experience working in an office setting; associates degree from an accredited college; or any combination of experience or education. Experience working in a school setting is desired.

Monitor visitor access to school; greet visitors to main office; ensure visitors follow proper protocols for sign-in and visitor badges; direct visitors to appropriate location; confirm that individuals are approved for student dismissal.

Provide general office support including but not limited to answering phone calls, direct calls to appropriate staff, answer questions, and address concerns, filing and disposing of documents, and distributing of mail.

Process beginning of year packets; distribute to appropriate personnel; and maintain applicable lists or databases.

Monitor school budget throughout the school year and provide the Principal with regular budget updates, as needed.

Process purchase orders through Infinite Visions for all teacher, office, and building supplies on a daily/yearly basis.

Monitor and track incoming orders to verify receipt and to provide confirmation to Central Office.

Coordinate annual end-of-year building inventory for submission to Central Office.

Ensure that all non-staff have completed CORI paperwork and forward CORI forms to Central Office for processing.

Serve as backup for staff and student attendance, unless otherwise designated by building principal.

Assist staff with copying, laminating and material preparation as needed.

Basic troubleshooting and upkeep of office machinery and coordinate service as needed.

Manage daily dismissal and communicate to staff any changes.

Assist in the coordination and distribution of morning announcements, and may include One Call notifications, family communications, and updates to school social media.

Assist in the preparation of the school's virtual backpack.

Coordinate field trip scheduling and transportation and the collection of money.

Work collaboratively with community organizations and after school programs.

May assist in supporting students during non-instructional times.

Other responsibilities as requested by the building principal.

The work environment is in a school setting and can expand to all aspects of the students' school day. Majority of work is performed in a moderately noisy work environment, with frequent interruptions. Operates computer, printer, telephone, copier, fax machine and all other standard office equipment. Makes frequent contact with school department staff. Contacts are typically with the public, students, parents, vendors, and outside agencies and organizations.

Maintains a significant amount of confidential information. Errors could result in confusion and delay and adverse public relations.

While performing the duties of this job, the employee is frequently required to sit, communicate, or hear; occasionally required to walk, must be able to handle, or feel objects, tools, or controls; and reach with hands and arms. The employee must occasionally lift and/or move objects weighing up to 25 pounds. Vision and hearing at or correctable to normal ranges. This position requires the ability to operate a keyboard and calculator at efficient speed.

While performing the duties of this job the secretary may be required to kneel, stoop, bend. May be required to lift and carry Regular attendance is a necessary and essential function. Rarely absent or late unless the situation is of an emergency nature.
