ASSISTANT COMMUNITY MANAGER

The Assistant Community Manager is responsible for overseeing, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. Contributes to the delinquency and collection of rent to optimize the property's cash flow and financial position. Manages all phases of the operations, including personnel, leasing, maintenance, financial administration and risk management in the absence of the Community Manager.

Serves as an onsite leader to supervise all aspects of the property and staff to ensure compliance with the company s policies and procedures, safety and fair housing guidelines, and liability concerns.

Essential Duties & Responsibilities Financial Management
  • Responsible for posting all payments and income received from all applicants, current residents, and non-current residents accurately and timely.
  • Responsible for processing and reconciling daily all accounts receivable.
  • Monitor and follow up on bad debt including preparation of late notices, resident and guarantor contact, and filing evictions.
  • Responsible for helping the property meet budgeted revenues, expenses, and Net Operating Income.
  • Responsible for posting charges to resident and non-current resident accounts, including bill back of utilities where applicable.
  • Responsible for all end-of-the-month closing procedures and reporting.
  • Maintain accurate and organized records; audit resident files to ensure accuracy.
  • Responsible for walking units and posting all move-out charges, statements, and security deposit refunds.
Personnel Management
  • Regular/daily onsite attendance is required.
  • Use consistent techniques and company directives to screen, hire, train, coach, and develop onsite staff.
  • Ensure the effectiveness of staff through ongoing training, coaching, counseling, and guidance in compliance with Asset training benchmarks.
  • Promote harmony and quality job performance of staff through support and effective leadership.
  • Ensure staff compliance and consistency with company policies and procedures.
  • Strategic leasing management and effective leasing techniques to obtain closures, follow-up, lease signing/documentation, and accurate reporting systems.
  • Implement marketing strategies and systems outlined in the annual marketing plan.
  • Address resident complaints, concerns, and requests to ensure resident satisfaction.
  • Develop and implement resident retention programs (e.g., resident functions, special promotions, monthly newsletter).
  • Show, lease, and move in prospective residents.
Administrative Management
  • Manage excellent customer service and monitor service request turnaround and maintenance responsiveness.
  • Maintain property appearance and ensure timely repairs through regular inspections and tours.
  • Assist with supervision of all business functions related to operations.
  • Plan for and utilize property resources, equipment, and supplies economically, including obtaining bids and coordinating with vendors and contractors.
Education/Experience
  • High School Diploma or Equivalent;
    Bachelor’s degree preferred, or two years of housing industry experience; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Ability to understand and perform onsite software functions; basic computer skills required.
  • Must have basic knowledge of Fair Housing Laws and OSHA requirements.
Physical Requirements
  • Regularly required to remain in a stationary position or move about the property; may require standing, walking, and lifting up to 25 lbs; ability to work in various environments and conditions.
  • Occasionally required to climb ladders or stairs, work in confined spaces, and operate vehicles or equipment as part of job duties, including overtime, weekends, and night hours as needed.
