Job SummaryThis position provides administrative support to the Senior Vice President and Chief Financial Officer, coordinating calls and meetings with investors, managing investor communications, planning events, preparing and editing written materials, conducting basic research, and handling ad hoc items as needed.
Essential Duties & Responsibilities- Provide comprehensive administrative support to the Chief Financial Officer.
- Coordinate virtual and in-person meetings with investors and triage inquiries from the investor community.
- Serve as a general liaison with internal and external stakeholders, managing communication and correspondence efficiently and professionally.
- Coordinate general internal and external events, including budgeting, room set‑up, preparation of meeting materials, and agenda preparation.
- Design, prepare, and edit written and digital materials for internal and external audiences using PowerPoint, Excel, and Word.
- Conduct basic research, compile data, and use digital and AI-enabled tools to support drafting, summarization, and administrative efficiency while exercising sound judgment and confidentiality.
- Handle confidential information with discretion and professionalism.
- Perform basic bookkeeping tasks such as expense reports, invoicing, and budgeting/expense tracking.
- Perform general administrative duties such as preparing correspondence, proofreading documents, copying, filing, and ordering supplies.
- Support special projects, particularly budgets and preparations for Board and senior management meetings.
- Assist other departments and executives with special assignments as needed.
- Associate’s degree or equivalent experience required.
- Minimum five years of administrative experience in a corporate environment, preferably with a Fortune 500 company.
- Effective and professional communication skills with personnel at all levels.
- Ability to maintain confidentiality and discretion.
- Strong time‑management, organizational, oral, and written communication skills.
- Proactive, self‑motivated, and detail‑oriented.
- Strong analytical and problem‑solving skills.
- Advanced PC skills, including Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, Visio), Docu Sign, and ability to learn new business systems and workflow tools.
- Proficiency in AI-assisted productivity tools, including M365 Copilot, for meeting preparation, note organization, document drafting, summarization, and information retrieval, with the ability to validate outputs, protect confidential information, and apply appropriate judgment.
