Hybrid work model:
Three days in-office.
Provides exceptional administrative support to HR professionals, enhancing the People & Culture department’s overall capacity.
Responsibilities- Meeting coordination: organizing departmental meetings, scheduling, preparing agendas, taking minutes, and distributing materials.
- Reception support: providing receptionist assistance on days with large employee or guest gatherings.
- Expense report support: managing and filing expense reports for Director-level team members, handling exceptions and troubleshooting.
- Calendar management: managing overall departmental calendar, including staff meetings, leadership meetings, QBRs, workshops, absences, anniversaries, and birthdays.
- Contract management: liaising with Legal to ensure appropriate contracts and timely movement through the contract development process.
- Document management: organizing and maintaining departmental files and shared drives, creating and updating reports and presentations.
- Event planning: supporting departmental events and activities, assisting in planning, coordination, and execution—including venue selection, logistics, vendor coordination, and budget management.
- Purchase order setup and management: setting up purchase orders in financial systems, receiving and processing invoices, tracking exceptions.
- Vendor set up: liaising with Finance to establish new vendors; serving as point of contact from contract creation through PO payment.
- Bachelor’s or Associate’s degree.
- Experience in an administrative role within Human Resources preferred.
- Strong communication and interpersonal skills.
- Ability to manage multiple priorities.
- Motivated with an upbeat personality and love to learn.
- Proactive and strategic thinker.
- Proficiency with Google Suite and communication tools.

The salary range for this position is $50,000-$65,000.
