Reports To: Sr. Director of HR Operations

Location: Hybrid, Norwalk CT

Position Summary

The Senior Benefits Administrator is responsible for the administration, analysis, and compliance of employee benefit programs within ADP Workforce Now. This role serves as a subject matter expert in benefit plan setup, data integrity, and system functionality. The Senior Benefits Administrator partners with HR, Payroll, and external vendors to ensure accurate and timely benefits enrollment, deductions, compliance reporting, and employee support.

Benefits Administration

  • Configure and maintain benefit plans, eligibility rules, and workflows within ADP WFN.
  • Process employee benefit elections, life events, and terminations in compliance with plan rules.
  • Monitor and audit benefit deductions to ensure accuracy and resolve discrepancies with Payroll.
  • Lead benefits administration for mergers and acquisitions, including due diligence reviews, benefits comparisons, onboarding of new employee populations, and integration into ADP.
  • Administer and process disability, leave of absence, and FMLA paperwork, ensuring compliance with federal/state regulations and company policy.
  • Support Open Enrollment activities, including system testing, communication, and reporting.
  • Partner with vendors and brokers to ensure proper file feeds, data exchanges, and reconciliations.

Compliance & Reporting

  • Maintain compliance with ACA, ERISA, COBRA, HIPAA, and Section 125 requirements.
  • Generate and analyze ACA measurement, lookback, and 1095-C reporting in ADP.
  • Support audits and prepare compliance documentation as needed.
  • Develop dashboards and reports to provide insights on enrollment, participation, and costs.
  • Coordinate PCORI fee filings including tracking covered lives and ensuring timely submission/payment.
  • Monitor and report on employee leaves of absence (FMLA, disability, state-specific leave programs) to ensure compliance with federal, state, and local requirements.
  • Assist in compliance activities related to mergers and acquisitions, ensuring smooth plan transitions and regulatory adherence.
  • EEOC

Employee Support

  • Serve as point of contact for employee benefit inquiries, escalating complex issues when necessary.
  • Provide guidance on enrollment processes, qualifying events, and system navigation.
  • Partner with HR team to deliver training, FAQs, and resources for employees.

System & Process Improvement

  • Identify opportunities to improve benefit processes through automation, reporting, and workflow configuration.
  • Participate in system upgrades, testing, and implementation of new ADP features.
  • Collaborate cross-functionally to ensure smooth integration of benefits with onboarding, payroll, and HR operations.

Qualifications & Experience

  • Bachelor’s degree in human resources, Business Administration, or related field (or equivalent experience).
  • 3–5 years of progressive experience in benefits administration with hands-on ADP Workforce Now experience.
  • Prior experience supporting benefits transitions in mergers and acquisitions (due diligence, data validation, and integration).
  • Strong knowledge of federal and state benefits regulations (ACA, COBRA, ERISA, HIPAA, FMLA).
  • Proven ability to analyze data, resolve discrepancies, and implement process improvements.
  • Advanced Excel/reporting skills and comfort working with large data sets.
  • Excellent communication and customer service skills, with the ability to explain complex benefit concepts to employees.
  • Experience managing plans in HRIS system, ADP WFN Preferred
