The Site Administrative Generalist provides day-to-day administrative and operational support for the La Quercia facility in Norwalk, Iowa. This is a hands-on, generalist position designed to support a variety of site needs, including front office and visitor coordination, Human Resources administration, employee safety training and recordkeeping, general office support, and basic non-technical IT assistance.

The ideal candidate is organized, approachable, dependable, and comfortable working across multiple functions in a manufacturing environment. This position will often serve as a first point of contact for employees, visitors, vendors, and other individuals needing assistance at the facility.

Essential Duties and Responsibilities Front Office & Visitor Support
  • Greet and assist visitors, vendors, customers, contractors, and other guests entering the facility.
  • Coordinate visitor sign-in, badges, required documentation, and site entry procedures.
  • Notify appropriate employees when visitors arrive and assist with meeting coordination.
  • Maintain a professional and organized front office and reception area.
  • Assist with incoming calls, mail, packages, deliveries, and general inquiries.
  • Coordinate conference rooms and assist with meetings and site visits as needed.
Human Resources Support
  • Provide general administrative support to Human Resources and site leadership.
  • Assist employees with routine HR questions and direct more complex matters to the appropriate HR representative.
  • Assist with new-hire onboarding, orientation, paperwork, and employee documentation.
  • Help coordinate pre-employment activities and first-day requirements.
  • Maintain employee records, training documentation, forms, and other HR-related files as assigned.
  • Assist with employee communications, postings, events, meetings, and engagement activities.
  • Support recruiting activities such as scheduling interviews and communicating with candidates when needed.
  • Maintain confidentiality of employee and company information.
Safety & Training Support
  • Assist with coordinating and documenting employee safety training.
  • Help facilitate new-hire safety orientation and other routine training programs.
  • Maintain safety training records and assist with tracking required or recurring training.
  • Assist Safety and site leadership with distributing safety communications and materials.
  • Help coordinate safety meetings and employee training sessions.
  • Assist with maintaining required safety documentation, postings, and records.
  • Support follow-up on administrative safety items and corrective actions as directed.
  • Promote compliance with company safety policies and procedures.
General Office & Administrative Support
  • Provide general administrative assistance to site leadership and departments as needed.
  • Prepare documents, spreadsheets, presentations, correspondence, and other materials.
  • Assist with scheduling meetings, organizing events, ordering supplies, and coordinating office needs.
  • Maintain office supplies and coordinate replenishment.
  • Assist with filing, scanning, copying, data entry, and document organization.
  • Help coordinate employee lunches, meetings, training sessions, and company events.
  • Assist with special projects and other administrative assignments as needed.
  • Serve as a flexible resource to support changing priorities across the facility.
Basic IT & Technology Support
  • Provide basic, non-technical assistance to employees with common computer, printer, phone, and office technology issues.
  • Assist employees with basic troubleshooting such as restarting equipment, checking connections, connecting peripherals, and identifying common user issues.
  • Help coordinate new employee computer, phone, badge, and equipment setup with the IT department.
  • Assist with inventory and distribution of computers, phones, monitors, and other company-issued technology.
  • Submit and follow up on IT support requests when an issue requires technical assistance.
  • Coordinate with the company’s IT team or outside providers as needed.
  • This position is not expected to perform advanced technical IT support, network administration, cybersecurity, or system administration.
