JOB DUTIES:
- Handle inbound and outbound telephone calls related to Medicaid Estate Recovery cases.
- Serve as the primary point of contact for heirs, attorneys, estate representatives, probate courts, and other parties.
- Conduct initial case intake and gather required information for new referrals.
- Verify Medicaid eligibility and long-term care service information using internal systems and state-provided data.
- Research probate filings, estate status, and related court information through online court systems and public records.
- Document all conversations, research findings, and case updates accurately within the case management system.
- Request and review supporting documentation including probate filings, death certificates, wills, and estate documents.
- Follow established workflows, procedures, and compliance requirements for operations.
- Escalate disputes, hardship claims, or legally sensitive matters to supervisory staff or attorneys as appropriate.
- Maintain confidentiality of protected health information (PHI) and comply with HIPAA and all applicable privacy regulations.
- Assist with outgoing correspondence, notices, and follow-up communications.
- High school diploma or equivalent
- Previous experience in customer service, call center, healthcare, legal, insurance, probate, collections, or Medicaid experience
- Strong verbal and written communication skills, with the ability to communicate professionally and effectively with internal and external parties
- Ability to handle sensitive and confidential information professionally, including de-escalating difficult conversations and managing sensitive situations with empathy and professionalism
- Associate’s or Bachelor’s degree
- Experience working with probate courts, estate administration, liens, or public records research
