Job Description: 12 Month Administrative Assistant for Early Childhood Education/Hickory Street ELC
Reports To: Early Learning Coordinator
Minimum Qualifications- High School Diploma
- Associate’s Degree, two years of college (60 credits) preferred or equivalent experience as deemed appropriate by the Board of Education
- Demonstrated aptitude and competence for assigned responsibilities
- Any combination of training, education and experience which demonstrates possession of the knowledge and abilities stated below, and the ability to perform the duties of the position
- Proficiency tests may be included in the interview process
Under basic supervision, performs a variety of administrative support functions to assist department staff with technical, clerical and operational duties. Performs special assignments, updates records and databases, provides information and assistance to staff.
Special Knowledge/Skills- Must be able to maintain a high level of confidentiality in all matters
- Excellent organizational and time management skills and ability to multi-task with numerous interruptions
- Excellent interpersonal skills
- Ability to learn pertinent procedures and functions quickly and apply them without immediate supervision
- Knowledge of standard office methods and procedures including excellent computer and proofreading skills
- Telephone and public relations proficiency
- General mathematics proficiency
- Knowledge of automated and manual record keeping practices
- Ability to plan and organize work to meet deadlines
- Tactful and courteous demeanor
- Knowledge of Microsoft Office Programs
- Perform standard office routines.
- Maintain student records; both electronic and hardcopy cumulative files.
- Receive and routes all incoming calls.
- Submit weekly absence report of school staff.
- Assist teachers in preparing instructional materials as requested.
- Greet and assist all visitors that enter the building.
- Maintain office machines and supplies for school machines.
- Schedule appointments, meetings and conferences.
- Perform various secretarial tasks including the operation of software programs, conference and professional day forms.
- Record-keeping programs include but are not limited to:
Phoenix, Powerschool, Microsoft Office, SWIS etc… - Conform to established safety standards.
- Ability to keep information confidential and maintain an ethical attitude.
- Ability to interpret, apply and explain instructions given orally and in writing.
- Ability to learn and apply procedures.
- Ability to communicate and work effectively with students and parents.
- Compose correspondence as necessary.
- Order supplies for the school office and staff members.
- Initiate requisitions for purchases.
- Responsible for maintaining required records for special activity accounts.
- Maintain ELL translation log.
- Ability to use Cyracom.
- Ability to navigate and make changes to state PSIS site.
- Enter ED166 report for student discipline.
- Prepare monthly enrollment report for Superintendent’s office.
- Organize and submit staff and substitute time cards for payroll.
- Primary contact for First Student;
Keeping bus lists current. - Receive and distribute all incoming mail and interdepartmental correspondence.
- Maintain Google calendar for school events.
- Assist with transportation requests for school field trips.
- Maintain Quickbooks for Student Activity Accounts;
Submit reconciliation. - Ensure student records are requested for all incoming students as well as mailing reports monthly to the Curriculum Office.
- Vision : (which may be corrected) to read small print; view a computer screen for prolonged periods.
- Hearing : (which may be corrected) to answer telephones and tolerate exposure to noisy conditions.
