Job DescriptionReports to: Director of Human Resources
Minimum Qualifications- Associate’s Degree in Human Resources, Business Administration, Data Management, or related field (Bachelor’s Degree preferred)
- Minimum of three (3) years of experience in Human Resources, data management, or administrative systems support or equivalent experience
- Experience working in a public school district preferred
- Demonstrated proficiency in HRIS platforms, database systems, and spreadsheet applications
- Experience with MUNIS and position control is strongly preferred
The Data and Reporting Specialist is responsible for maintaining the integrity, accuracy, and organization of Human Resources data and reporting systems for the district. This position oversees position control records, staffing databases, state and federal reporting requirements, and internal data requests. The Specialist ensures timely and accurate entry of personnel information across multiple platforms and provides data support to administrators, Payroll, and district leadership to facilitate informed decision‑making and regulatory compliance.
Dutiesand Responsibilities
- Maintain accurate position control and staffing databases by bargaining unit and employee classification
- Track approved positions, full‑time equivalency (FTE) allocations, and vacancies to support recruitment and budget alignment
- Track employment status including tenure requirements and seniority
- Enter and update employee data in HR systems including assignments, transfers, leaves, resignations, retirements, and separations
- Register certified staff in state reporting systems and maintain current records of assignments and employment status
- Prepare and submit required reports, including but not limited to non‑certified staff FTE reporting (as of October 1), seniority lists by bargaining unit, and federal EEO‑5 reporting
- Generate absence and leave usage reports to ensure compliance with district procedures and contractual limits
- Maintain and update Frontline system records, including absence adjustments, account creation, and user access modifications
- Create and deactivate system accounts for employees and substitutes as employment status changes
- Compile and export staff data for evaluation systems, internal reporting, and administrative review
- Prepare annual staff communications for distribution, including salary and assignment notices and reasonable assurance letters
- Maintain staff directory information and coordinate data exports for district communications
- Respond to employment verification requests and internal data inquiries in a timely and professional manner
- Compile and provide documentation responsive to Freedom of Information Act (FOIA) requests as assigned
- Ensure data accuracy and confidentiality in all personnel records and reports
- Strong knowledge of HR information systems and data management processes
- Advanced proficiency in Microsoft Excel, Google Sheets, and database applications
- Ability to analyze and reconcile data across multiple systems with a high level of accuracy
- Strong organizational skills and attention to detail
- Ability to manage confidential information with discretion
- Ability to prioritize tasks and meet deadlines in a fast‑paced office environment
Performing the job duties of this position requires the following physical demands:

- Strength: to lift, push, pull and/or carry objects which weigh as much as 25 pounds on a frequent basis.
- Environmental Requirements: encounter constant work interruptions; work cooperatively with others; work independently; work indoors.
Position is exempt, non‑union, 12‑month, full‑time, 8 hours per day, in‑office (this is not a remote position).
EvaluationPerformance of this job will be evaluated in accordance with provisions of the Board's policy on evaluation of support services.
Salary$70,000 – $85,000
