Position: Planned Giving Officer, Marin Humane (Novato)

Job Summary

The Planned Giving Officer is responsible for managing all aspects of Marin Humane’s Planned Giving Program. This includes program design and implementation, prospect cultivation, stewarding existing Legacy Society and Guardians participants, developing and implementing marketing strategies, events, and evaluating and reporting metrics. The Planned Giving Officer is a vital contributor to the Development team’s efforts to increase revenue for Marin Humane.

They are the primary contact for estate planning and Guardians Program inquiries. They skillfully manage a portfolio of constituents and ensure other portfolio managers incorporate planned giving into their strategy and stewardship activities. This position reports to the Director of Philanthropy and works closely with professional financial advisors, attorneys, trustees, friends and families, and financial institutions. They are accountable for accomplishing department goals, working collaboratively with internal and external stakeholders, and supporting the mission, goals, and philosophy of Marin Humane.

ESSENTIAL DUTIES AND RESPONSIBILITIES PROGRAM STRATEGY AND DESIGN
  • Develop and implement a measurable annual strategy designed to engage current and prospective donors in planned giving conversations.
  • Raise awareness about the impact of planned giving, recognize Legacy Society and Guardians members, and establish and report metrics to identify donors who become Legacy Society members.
  • Partner with staff to secure planned gifts by providing technical expertise, information about planned giving options, and by providing proposal language. Participate in prospect meetings and integrate planned giving into fundraising activities, including capital campaigns.
DONOR STEWARDSHIP
  • Articulate Marin Humane’s mission and vision as well as the specific aims, needs, and impact of various programs to various constituencies.
  • Design and measure cultivation of planned giving prospects through personalized outreach, visits, and written communication, in partnership with Annual and Leadership Giving staff.
  • Manage and steward a portfolio of assigned donors, through personalized outreach, visits, written communications, and regular engagement.
  • Accurately track donor interactions through Raiser’s Edge and maintain accountability through a metrics-driven, action reporting model.
  • Ensure continued participation of existing Legacy and Guardian Society members, such as creating special events and educational opportunities.
  • Serve as the primary point of contact for individuals expressing interest in planned giving.
BEQUEST ADMNISTRATION
  • Manage all aspects of bequest administration from notification through realization of bequest, including record keeping and reporting, communications with external and internal stakeholders, closing of bequests and records management.
  • Work effectively with attorneys, trustees, financial institutions, and related parties as well as Marin Humane leadership to bring bequests to conclusion.
  • Maintain all hardcopy and digitized bequest records.
  • Maintain all established planned giving and planned giving-related spreadsheets.
  • Ensure Marin Humane receives the maximum bequest intended by each decedent.
  • Ensure restricted bequests are reported to VP of Finance and Development staff.
  • In cases of litigation, regularly communicate to the Director and VP of Philanthropy, VP of Finance & Administration, and/or CEO.
PROGRAM MARKETING & MANAGEMENT
  • Collaborate with the Development and Marketing & Communications teams, develop and execute a planned giving marketing campaign. Develop and implement a communications plan to donors and the public using social media, videos, stewardship outreach, presentations, and webinars.
  • Produce two planned giving webinars each year.
  • Ensure documentation of constituent contact, bequests, Legacy and Guardian memberships in donor database (Raiser’s Edge), and other management tools used.
  • Track and document planned giving activities and regularly report on achievement of goals.
  • Make planned giving presentations to internal and external audiences.
  • Ensure planned giving website content is current, accurate, and accessible.
