Assistant Manager (Clinic Operation / Novena / up $5000)
Duration: 6 months, starts around the end of April 2026

08:30‑06:00 (Monday‑Thursday), 08:30‑05:30 (Friday)
Job Summary:
You will assist in planning and coordinating daily clinic activities and resource utilisation to ensure efficient and effective management of the clinic.
Responsibilities:
- Clinic and Staff Management
- Review staff submissions such as leave applications, overtime claims, transport claims and course requests for Dental Assistants and Health Attendants.
- Inform the covering Reporting Officer when staff require engagement (e.g., check‑ins, counselling).
- Assist the covering RO in coordinating staff engagement sessions, interviews or follow‑up discussions when required.
- Support the Dental Heads in ensuring timely and proper maintenance of clinic facilities, equipment and materials.
- Ensure that Workplace Safety and Health and security measures are effectively in place and fully compliant with requirements.
- Assist HQ and clinic teams in preparing Khatib Dental Clinic to increase capacity expansion.
- Provide administrative support to the clinics when needed.
- Compliance and Audit Support
- Coordinate with dental clinics and other divisions/departments to standardise work practices.
- Assist clinics in preparing for audits by verifying required documents, checklists and compliance records.
- Management of Reports
- Prepare and collate Complimentary Codes Review Reports and IPSG 4 reports for submission.
- Support the preparation of other operational or administrative reports when required.
- HQ Coordination and Support
- Attend meetings and provide necessary follow‑up actions.
- Update, review or amend materials when necessary.
- Laboratory Suppliers' Review
- Assist lab vendors and clinics with ad‑hoc matters (e.g., payment or other feedback).
- IT Support
- Provide basic support for IT‑related matters at the clinics when required.
- DOPEX Exchange
- Provide administrative support for the bi‑annual DOPEX changeover (Dental Officers onboarding).
- Secondary Responsibilities
- Any other duties assigned by the department.
Qualifications:
- Bachelor’s Degree in any discipline.
- Entry level or at least 1‑3 years of experience for the Senior Executive / AM position, or 4‑6 years for the Senior AM position.
- Experience in the healthcare and/or service industry is an added advantage.
- Positive and pro‑active attitude towards work.
- Strong organisational, project management, communication and people‑management skills.
- Passion for analysing and improving workflow.
- Ability to multi‑task and work in a fast‑paced dynamic environment.
- Ability to handle projects, write and present well whilst meeting deadlines.
- Proficient in MS Office.
