Order Entry
  • Processing purchase orders received from customers and sales representatives, issuing Purchase order by Fax to HQ and Affiliates, entering load sheets (products, customers, bill-to, ship-to), order entry in Great Plains system (KNOWLEDGE OF GREAT PLAINS), maintenance on existing orders (increases, decreases, cancellations, etc).
Shipping Schedule Control
  • Updating shipping schedules, responding to customer inquiries as to status of order, negotiate shipping schedule with HQ and Affiliates, shipping plan
Shipping Coordination
  • Communicating with HQ, Affiliates, customers and Sales Representatives for schedules and shipping documents, prepare packing lists for all related sample shipments
Returned Merchandise Management
  • Work with SCM and Accounting Departments to ensure returned goods are tracked and monitored, follow up with Accounting to ensure credits are issued or received
Inventory Control
  • Monitor inventory levels for accuracy and discrepancies, synchronize Logistics database with Great Plains (10.0), issuing invoices for inventory items, shipping advice and document arrangement and distribution, daily interaction and data gathering from all warehouse locations, data entry of all shipping documents for specific customers, data entry for all warehousing locations, filing and record keeping as per company's procedures, domestic interoffice and sample shipping, maintain overhead inventory spreadsheet
Administrative Services
  • Answer switchboard, outgoing and incoming mail, recommendations for purchase and maintenance of office equipment (copiers, fax, etc), purchasing office supplies, assisting with travel arrangements, arrange special company events, setting up corporate communication services (consists of phone system, voice mail, speed dials), maintain business list for annual mailing of holiday cards, distribution and filing of daily newspapers, monthly and business trip schedules, assist with company vehicle maintenance, maintain and update bulletin board in kitchen, ensure time clock is accurate and continuous supply of time cards are available, special projects as requested by management, catalog inventory, assist Human Resources with paperwork for new hires
Other
  • Customer inquiries, faxing of engineering specs, proof-reading of letters and documents for Sales Managers, maintain files and records for related accounts, special assignments as requested by Management, entry of shipping information to ASSA network, assist with A/R Collection calls
