Our team optimises the use of physical spaces, ensuring that we align with organisational goals. This can include defining and evolving our workplace strategy, managing office layouts, seating arrangements, meeting rooms and the associated services required to ensure the successful day-to-day operation of our facilities including the physical assets such as furniture, equipment, and infrastructure.

About the role

The Workplace, Facilities & Real Estate Administrator plays a key role in keeping our Real Estate & Facilities operations running smoothly by managing invoices, purchase orders, vendor setup, financial tracking, and monthly reporting. You’ll support workplace efficiency through vendor coordination, event and meeting logistics, policy communications, and day‑to‑day administrative support for the Facilities team. The role also provides direct assistance to department leadership and participates in MERT and Fire & Safety programs, with full training

Your responsibilities
  • Manage department financial processes, including invoice handling in SAP, PO creation in Ariba, vendor setup, and Goods Received tracking.
  • Resolve issues related to vendor invoices and POs, and support monthly accruals, forecasting, and P‑Card/T&E reporting.
  • Oversee vendor compliance by tracking Certificates of Insurance and ensuring timely updates.
  • Support workplace operations by coordinating meetings, off‑sites, clean‑up days, policy communications, and daily admin tasks.
  • Provide administrative support to department leadership, including calendar, travel, and expense management, and participate in safety teams.
The experience we're looking for
  • Strong proficiency in Excel, PowerPoint, Word, and experience working with SAP and Ariba.
  • Excellent verbal and written communication skills, with a strong customer‑service mindset.
  • Highly organized, detail‑oriented, and able to manage multiple tasks and deadlines in a fast‑paced environment.
  • Ability to work collaboratively across teams and build productive relationships with vendors and internal partners.
  • High school diploma required, with 2+ years of experience in Office Services, Facilities, or administrative support; finance experience is a plus.
