About the role

We are seeking a highly organized, proactive, and adaptable Executive Assistant to support the Head of Sales and broader Sales leadership team. This role requires a strong ability to manage competing priorities, anticipate needs, and operate with discretion in a fast-paced environment.

The ideal candidate will be a trusted partner who can flex across priorities and, over time, may provide support to other senior leaders or functions based on business needs.

Your responsibilities

Executive & Team Support

  • Provide high-level administrative support to the Head of Sales and leadership team
  • Manage complex calendars and shifting priorities
  • Coordinate internal and external meetings, leadership forums, and offsites
  • Prepare agendas, materials, and meeting summaries as needed

Operations & Coordination

  • Partner with Sales leadership on planning rhythms (e.g., QBRs, pipeline reviews, leadership meetings)
  • Track key action items and follow-ups to ensure deadlines are met
  • Assist with budget tracking, expense reporting, and invoice processing
  • Coordinate travel arrangements and itineraries

Communication & Stakeholder Management

  • Serve as a point of contact for internal and external stakeholders
  • Ensure clear, timely communication across teams
  • Help manage executive communications, including presentations and correspondence

Project & Process Support

  • Support special projects and cross-functional initiatives as needed
  • Identify opportunities to improve administrative processes and team efficiency
  • Provide logistical support for team events and engagement activities

Flexibility & Growth

  • Adapt to support additional leaders or functions as business needs evolve
  • Take on expanded responsibilities and projects that align with skills and development goals
The experience we're looking for

High school diploma required; bachelor’s degree preferred

  • Proven experience supporting senior executives, ideally in a fast-paced and/or global environment
  • Advanced proficiency in Microsoft Office (Outlook, Teams, PowerPoint, Excel, Word)
  • Exceptional organizational and time management skills, with strong attention to detail
  • Ability to prioritize, multitask, and work independently in a dynamic, fast-changing environment
  • Excellent written and verbal communication skills, including the ability to draft clear and professional business communications
  • Strong analytical skills, with the ability to review and interpret data for accuracy and relevance
  • Demonstrated ability to exercise sound judgment, make decisions confidently, and handle both internal and external requests effectively
  • High level of professionalism, discretion, and ability to manage confidential and sensitive information
  • Proven ability to navigate and operate effectively within a complex organization
  • Proactive, collaborative mindset with a strong sense of initiative and problem-solving capabilities
