The Senior Administrative Coordinator performs high level administrative support and duties across assigned department. This position is responsible for planning, coordinating and organizing administrative business activities and answering questions and directing inquiries to other members within assigned department.
Essential FunctionsThe Senior Administrative Coordinator provides administrative and project support to the assigned manager (typically Director or above) and the respective members / teams that report into this position. This role requires a high degree of administrative and project management ability, prioritizes own workload, and receives limited guidance.
Responsibilities include:
- Managing calendars, prioritizing appointments, scheduling meetings, and coordinating meeting logistics.
- Making travel arrangements, taking meeting minutes at designated meetings, and creating/submitting expense reports.
- Invoicing and creating purchase orders, supporting sponsor ships and exhibitions processes.
- Managing contracts and master service agreements.
- Providing administrative and project support to the senior manager and teams.
- 5+ years of experience with demonstrated mastery of administrative skills.
- Proficiency in MS Office Suite (PowerPoint, Word, Excel, Outlook).
- Must be a self-starter with the ability to multi-task and work with a high level of initiative.
- Flexibility to accommodate rapidly changing priorities and deadlines.
- High level of accuracy and attention to detail.
- Very strong customer service skills.
- Must be able to exercise independent judgment, be resourceful and maintain a high degree of confidentiality.
- Ability to influence leaders is a plus.
- This position is hybrid and requires 3 days on site per week in our Nutley, NJ office (Tuesday, Wednesday and Thursday).
Senior Administrative Coordinator hourly rate: $35 - $47. Under current guidelines, this position is eligible to participate in Eisai Inc. Annual Incentive Plan.
Final pay determinations will depend on various factors including but not limited to experience level, education, knowledge, and skills.
